Executive Assistant to the President & CEO – Office of the President

POSITION SUMMARY & OVERVIEW
The Executive Assistant to the President & CEO is a key member in the Office of the President and serves in an office ambassador capacity with the highest level of professionalism. Under the direction of the President, the Executive Assistant will work closely with the President to perform a wide range of complex and highly confidential administrative support duties requiring discretion and independent judgment in matters of significance.The Executive Assistant is responsible for managing the President’s daily and scheduled appointments ensuring the President is well-prepared, well-informed and well-equipped for meetings and travel. The Executive Assistant is expected to anticipate the President’s needs and proactively solve problems and/or independently handle issues. The Executive Assistant will be required to be on-call, which often includes in-person availability and staffing support to the President & CEO during weekday and weekend evenings.

ESSENTIAL FUNCTIONS:
The Executive Assistant to the President & CEO will perform executive-level support functions including (but not limited to) the following:

• Performs comprehensive administrative support and functions
• Manage President’s calendar with the responsibility of notifying cabinet of key meetings and events to include scheduling meeting rooms
• Practices a high level of strict and absolute confidentiality and integrity both internally and externally in carrying out the job duties and responsibilities
• Compiles information and data; prepares administrative and program reports, correspondence, memorandum, presentations and other internal documents
• Prepare daily schedules and communication to ensure the President’s day is efficient and effective
• Proactively identify issues that could impact the successful execution of the President’s commitments
• Schedule President’s travel and accommodation arrangements including processing payments for registration fees in a timely manner
• Supports the needs of the cabinet members in their ability to raise critical issues with the President and receive needed responses, guidance and decisions
• Works with members of senior staff including creation of agenda for weekly cabinet meetings and providing minutes for regular meetings
• Effectively represent the Office of the President in interactions with the Board of Trustees, executive cabinet, faculty, staff, students, alumni, and various external entities including public officials
• Record and compose meeting minutes for distribution and approval
• Performs other job-related duties as assigned.

• Demonstrates extensive high-level administrative experience supporting executive level individuals
• Knowledge of administrative principles and practices
• Possesses understanding of higher education administration
• Ability to track and follow-up on projects, assignments and initiatives
• Ability to work independently, coordinate multiple projects and meet deadlines
• Ability to take initiative to plan and execute multiple tasks
• Ability to maintain regular, predictable attendance and punctuality within the university
• Excellent oral and written communication skills
• Demonstrates ability to handle sensitive issues and maintain confidentiality
• Demonstrates ability to cultivate positive working relationships and gain the trust and respect of all levels of internal and external constituencies
• Demonstrates ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact
• Advanced computer skills and demonstrated experience with office software and email applications
• Maintain professional appearance for internal and external functions

REQUIRED QUALIFICATIONS:

• Five years of relevant experience in an executive level administrative position or an equivalent combination of education and relevant experience
• Prior experience in higher education is preferred
• Bachelor’s degree required; master’s degree preferred
• Ability to be on-call, which often includes in-person availability and staffing support to the President & CEO during weekday and weekend evenings
