In this role, you’ll corral the growing list of projects in one place, track down status, and provide critical status report updates to help us control rollout of a new HR Strategy. You’ll assist in fast-tracking high-priority projects by assisting with things like budget approval and tracking milestones and action items.
A successful project coordinator should have excellent organization and interpersonal skills, attention to detail, quality focus, smart, possess a “can-do” attitude, high energy and flexibility to a high-paced deadline driven international company. In this role you will need to work well in a team environment, be able to represent the HR Team and DLL with professional courtesy, acumen and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes, and techniques to complete assignments and projects in line with the department’s activities and goals.

Day to day
Develops and maintains project plans, including identification of key stakeholders, deliverables, timelines, and required resources.
Contributes to day-to-day operational and logistical project management support by scheduling meetings, developing agendas, taking meeting minutes, action item tracking and next steps follow-up.
Attention to detail and ability to coordinate, track and manage project status reports and confidence to call out key risks and identify problems.
Maintain global HR project tracking system, which includes the tracking of project deliverables, key milestones and monitoring deadlines.
Provide regular status reports highlighting project status, project variances and risks.
Prioritize and support multiple projects simultaneously, and follow up on any issues in a timely manner.
Crafts messages and creates communications related to project plans/status with the ability to communicate verbally and written in a concise manner relevant to the audience.
Creates and updates PowerPoint presentations and narratives for the Global HR Strategy and related projects
Support the coordination of updates and documents required for submission such as LDC (Leadership Development Committee) meetings and follow up LDC action items and on audit findings
Ability to work in a fast paced, ever-changing environment and to effectively handle multiple priorities and projects with a calm, professional and willing attitude with attention to budget and deadlines
Open to take on increased and/or new responsibilities at any time
Assist with overflow, special projects, assistant back-up coverage and day-to-day tasks
Essentials
BS degree or equivalent experience
5+years’ experience coordinating and structuring complex projects as a core part of previous rolesand change management experience is a plus
Experience in coordinating and tracking HR projects a plus (e.g. technology implementations, restructuring, process improvement, pilot programs, program rollouts, process changes)
Advanced knowledge of MS Project or similar project-mapping tool
Integrity and good judgment in confidential situations and proven experience interacting with senior management
Demonstrated and superior skills in coordination, organization, and driving to deadlines with a portfolio of simultaneous projects
Strong influencing skills – able to identify stakeholders and bring them to the table as part of negotiating project scope, milestones, and deadlines
Able to foresee emerging project roadblocks or derailers and raise the red flag
Experience with identifying risks and implementing mitigation plans
Experience managing project budgets
Experience mentoring people in successful project mechanics
Adaptable team player
Strong working experience with Microsoft Word, Excel and PowerPoint
Superior oral and written communication skills
Ability to adapt procedures, processes, and techniques to the completion of assignments
Plans, coordinates, and executes tasks with ease and accuracy
Organized, resilient and flexible, with the ability to anticipate change, and to react quickly and efficiently
Able to handle multiple tasks concurrently and uses own time to save time for others
Listening skills; ability to understand assignments and complete them with minimal follow up from assigned leaders
Proven problem-solving abilities with the ability to anticipate change and act efficiently
Resourceful with the ability to make project management decisions using sound judgement and common sense
PMP certification is a plus
