SPECIFIC ESSENTIAL FUNCTIONS
Process bi-weekly payroll, ensuring all employees receive accurate paychecks on their scheduled pay day. This includes time clock changes and entries, filing of payroll paperwork and maintenance of the payroll files. Provide Leadership with accurate payroll reports in a timely manner.
Research and complete payroll inquiries for internal and external request.
Provide employee reporting for benefits compliance and processing.
The Payroll & Benefits Specialist is responsible for the ongoing support and promotion of Hubbardton Forge’s total benefits package. The Payroll & Benefits Specialist prepares, and distributes communication materials (payroll stuffers, newsletters, etc.) to heighten employee awareness, appreciation, and usage of company programs.
Supports the annual Open Enrollment process for those benefits that can be changed annually, such as health insurance, life insurance, and flexible spending accounts. The Payroll & Benefits Specialist is responsible for creating and coordinating the company meeting schedule, assists in preparing the presentation materials, and delivering the presentation to employees across the company.
Reconciling the insurance bills on a monthly basis insuring the proper billing amount and that coverage is added or deleted as necessary for new hires and terminations.
Acts as the liaison between Hubbardton Forge and insurance companies and/or vendors. The Payroll & Benefits Specialist is responsible for assisting employees with insurance problems and coverage questions. Responsible for ensuring all claims are processed and employees and managers are kept abreast of restrictions and accommodations.
Responsible for the effective administration and plan compliance of all Hubbardton Forge employee benefit offerings which includes notifying employees of their eligibility, distributing information packets as requested, setting up the appropriate deductions in payroll, and notifying the plan administrator of new participants. Ensures plan compliance through regular reporting and testing (5500’s prep, discrimination testing, WC claim filing, etc.).
Assisting managers in the tracking and coordination of all medical, workers comp and personal leaves of absence. Provides regular database reporting and maintenance for safety and benefits functions as required daily, weekly, monthly and annually.
The Payroll & Benefits Specialist ensures that all FMLA requests are processed accordingly and that appropriate regulations are followed and notifications are made. Additionally, the Payroll & Benefits Specialist ensures that all Short-term and Long-term disability situations are effectively coordinated and communicated to the insurance carriers.

Evaluate processes/products for appropriate continuous process improvement applications; for productivity process improvements that align with business goals and strategies.
