Project Administrator Job Description
Looking to fill this posotion for 2 DVM locations: Norristown & North Wales, Pa.
The position is internally referred to as “project coordinator” and the coordinator works closely with our project management and corporate management personnel to keep the internal processes moving. Duties include but are not limited to:
· Working with project managers and other management staff to prepare reports, create and edit documents, correspondence, spreadsheets, etc for various applications to assist in completion of customer projects.
· Assist in setting up new projects and filing digital and hard copy paperwork for project filing on file server and in local hardcopy files.
· Compiling data sheets and technical documentation from various personnel and / or vendor websites for transmission of “Submittals” to clients for approval and tracking of Submittals and associated comments received in a Submittal Log.
· Preparing Invoices in conjunction with project management for billing on projects.
· Providing follow up calls with customers to ensure receipt of invoices for accounts receivable department.
· Additional Office administrative duties including ordering of supplies, scheduling / coordinating meetings, coordinating with vendors for outside service and maintenance of office (copier, HVAC, cleaning services, etc.)
· Local travel between facilities is required (Norristown & North Wales,Pa)
Skills required:
§ Experience with a manufacturer environment is a plus
§ Experience with electrical distribution products is a plus
§ Must be a responsible person with good interpersonal communication skills who can work well with others, and work in an environment with varying numbers of persons on a daily basis as many of our employees travel for sales or field work.
§ Must be proficient in Microsoft Office software platform, and in particular MS Word and MS Excel.
§ Must be willing and able to learn additional custom software interface procedures for running reports from accounting software package, and compiling data from Vendor websites.
§ Experience with MS Project Scheduling or other CPM scheduling software a plus but not required.
