Job Summary:The Administrative Assistant for the Art Department, School of Art and Media Studies provides a variety of advanced and diversified administrative and secretarial support services for Art Department functions within the School of Art and Media Studies and supports the faculty and Director of the School. Responsibilities include, but are not limited to: serving as office manager for day-to-day office operations and activities; coordinating facilities, equipment, and operations related to the Art Gallery, print-making studio, ceramics studio, jewelry lab, fine arts studio, theater, dance and music; communication of Department policie, practices, and procedures to faculty, students, and university personnel; monitoring and maintaining the Department budget and other fiscal records; providing support for full-time and part-time faculty; maintenance of student, course, program, and confidential personnel files; serving as liaison with other FDU departments; investigating and recommending resolution for problems; and oversight of student workers. The incumbent is expected to work independently and collaboratively on day-to-day tasks and special short- and long-term projects, as assigned by the Director, and assume a leadership role in carrying out such projects.Required Qualifications:1. Completion of commercial courses related to secretarial, general office, and administrative skills, or demonstrated equivalency through work experience. College credits preferred but not required.2. A minimum of three years experience in a complex academic or corporate administrative environment including office oversight responsibilities, experience with administrative record keeping, and demonstrated accounting and/or bookkeeping skills.3. Proficiency utilizing computer systems for word processing and spreadsheet applications. Must possess working knowledge of a variety of software applications and systems, such as Microsoft Windows, Microsoft Office (Word, Excel, PowerPoint), Email, the Internet, networks, and other relevant software applications. Knowledge of Ellucian Colleague a plus. Ability to quickly learn new programs/applications.4. Excellent interpersonal, written, and oral communication skills, problem-solving ability, and organizational skills. Must be well organized and collaborative in carrying out responsibilities.5. Ability to work independently and perform daily and routine tasks with a minimum of supervision.6. Ability to manage sensitive issues with decorum and confidentiality.7. Employment is contingent upon a satisfactory background check.
