Benefits and Human Resources Coordinator

Responsibilities:
· Main point of contact for general HR, payroll inquiries and act as subject matter expert on all health and welfare benefits needs across the organization by looking at trends and employee experience.
· Administer benefit programs by reviewing and processing enrollments, qualifying life events, on, off boarding for medical, dental, vision, life insurance and ancillary benefits; coordinate, and process grandfathered retiree and long-term care benefits.
· Assist individuals who have claim problems by answering their questions and contacting the insurance broker, explaining courses of action, and keeping detailed records of communications/transactions.
· Collaborate with designated broker to create effective internal communications and seminars to improve understanding of benefit plans.
· Perform benefit audits and periodic plan reviews.
· Manages leaves of absence programs and employee communications related to FMLA, STD, LTD, PTO state specific PFL, company specific leaves, ADA and Workers’ Comp.
· Manage 401(k) eligibility, data integrity, funding and compliance including the annual audits and 5500s.
· Work with TPA to administer COBRA benefit programs including employee updates and distribution of required annual notices.
· Reconcile and audit benefits plan enrollments, system setup, payroll deductions and vendor billing on a monthly basis.
· Maintain and update HRIS system including identifying systematic issues and resolutions for onboarding, benefits plans, time and attendance, employee records and payroll functions.
· Manage the receipt of, review, and upload of weekly benefits files for processing in Paycor; monitor and resolve issues related to all carrier feeds within benefits program.
· Lead on implementation of carrier feeds for Section 125 plans with Paycor.
· Lead in new hire orientations, processing E-Verify employment verifications, maintain I-9 records, personnel records, training on employee self-service tools, benefit orientations and required compliance trainings.
· Monitor employee coverage changes, including qualifying life events, to ensure eligibility, accuracy, and validity.
· Configure and launch annual Open Enrollment events with Paycor, and participate in periodic vendor meetings.
· Monitor the legal and regulatory environment as it affects benefit plans and make recommendations for changes as appropriate.
· Ensures full compliance with all state and federal regulations, reporting and filing requirements relating to all benefit plans.
· Work closely with benefit brokers and vendors to ensure timely and accurate ACA reporting compliance, 5500 filings, IRS and DOL filings and audit responses, and all other benefit related compliance obligations.
· Assist with firm special events such as Wellness Fairs, Flu Shot Clinics, holiday party, CPR Training, retirements, etc.
· Coordinate firm longevity and recognition awards.
· Assist with communication of and updates to firm policies and procedures, and employee manuals.
· Collaborate with brokers and executives on annual renewal of benefit programs; make recommendations to enhance employee benefits experience.
· Assist HR Manager with business liability renewals and workers’ compensation claims.
· Manage eligibility and enrollment for key person policies and ensure annual premium payments are processed and recorded.
· Initiating semi-monthly Payroll recording changes within benefits, compensation, on and off boarding, LOA and qualifying life events; coordinate same with accounting.
· Assist in other Human Resources functions as needed.
Qualifications and Experience:
High School Diploma (College degree a plus)
Law Firm experience
Experience with Paycor or other cloud-based HRIS systems, preferred
Proficiency in MS Word, Outlook, Excel (advanced Excel a plus)
Must be a team-oriented individual with excellent interpersonal, communication (verbal and written), and organizational skills as well as the ability to successfully analyze and troubleshoot issues.
Excellent customer service skills, with the ability to maintain the confidentiality of personnel data.
Impeccable integrity, excellent judgment and sensitivity to others.
Excellent attention to detail, the ability to prioritize work, and be comfortable working in a fast-paced environment.
Job Type: Full-time
Pay: $70,000.00 – $75,000.00 per year
