CLOSE PROXIMITY TO EITHER FT. WORTH OR MEMPHIS FACILITY !!!! WILL BE WORKING ON SITE INITIALLY UNTIL PROGRAM IS CREATED & ESTABLISHED, THEN COULD TRANSITION TO REMOTE/HOME Long term. Manager states Project Management experience is more important than HR Management for this. Will be leading a team of at least 3 “vaccine tracers”. This will be working on the compliance for the Government Mandate for Employers’ vaccination of employees. Additional team members to be added, as more Covid/Pandemic/Vaccination rulings develop.
Summary
The purpose of the Team Manager is to lead and manage the performance (service, productivity, quality) of a team delivering the day to day Vaccine Management & Test Tracking operation to all employees and managers.
The role is accountable for ensuring the provision of high quality, consistent advice and support and HR administrative activity in a cost effective and efficient way, that positively impacts customer effectiveness, efficiency, and confidence.
This role will be responsible for creating, reviewing, maintaining, documentation to support the vaccine management and test tracking processes.
The role will require cross functional alignment, engagement with stakeholders, a broad understanding of HR processes, and the use of data to provide insights into compliance across the business.
Essential Job Functions
Support the implementation of Workday/Kainos Vaccine Management and ongoing business as usual development, to successful completion against agreed objectives and timescales
Lead and manage the provision of timely, consistent support and advice to managers and employees ensuring compliance with legislation and processes
Lead and manage the timely and accurate delivery of Vaccine Management & Test Tracking services within agreed performance levels and to comply with all statutory requirements.
Understand the current organisational situation, identify future needs and create solutions to help meet those needs.
Ensure all process change adheres to the framework for process governance.
Monitor and evaluate current performance levels within the team, with a view to identifying ways of improving performance levels
Coach and develop individual members of the team to ensure they reach their maximum potential and performance
Ensure the capture and retention of documents and filing is in accordance with the company policy, processes and any audit requirements.
Monitor the contact management system to ensure the nature of the query is reflected to enable a high level of customer service satisfaction.
Ensure workflow requests are actioned in a timely and consistent manner
Monitor the day to day performance and customer perception of the operation through statistical management and understanding customer requirements
Monitor and resolve non-compliance, complaint and critical management issues to resolution, escalating as appropriate and ensure causes and outcomes are fed into the continuous improvement process
Ensure that the GBS Portal and associated knowledgebase are up-to-date with approved process documentation
Plan and analyse resource utilisation within the team and feeds requirements into the Senior Director HR Consultancy
Act as a champion for both internal and external customer focus and listen to and communicate with customers and stakeholders effectively; keeping all relevant parties consulted and informed where appropriate as a result of process change.
Lead and manage team to ensure team and individual members meet their objectives and ensure that all team members receive appropriate development and coaching to maximise their potential
Requirements
Bachelor Degree (Business, Human Resources or relevant subject) or an equivalent combination of education, training, and experience.
HR or equivalent qualification or experience at an appropriate level.
Experience of delivering HR and/or related services in a diverse organisation.
Sound knowledge of employment legislation as it appertains to Vaccine Management, Test tracking and non-compliance of policy and process
Knowledge of shared services and centre of excellence concept operating environment, service systems, processes and capabilities
Good understanding of the application of Workday, Servicenow and other HR systems including workflow and case management and its reporting capabilities
Strong interpersonal skills with the ability to engage and manage stakeholders effectively, resolving issues and understanding drivers/needs
Ability to lead or manage medium sized projects where there is a requirement for on-going change and process improvement.
Ability to build and establish effective relationships in order to elicit information from key individuals
Ability to motivate the team, set priorities and targets, direct and plan work to provide an integrated service to meet service standards and deadlines.
