Health Information Management Specialist – Pay & Perks

GENERAL SUMMARY: In this position, you would be responsible for daily scanning; identifying information to be abstracted and verifying that it has been entered into medical record; processing and tracking of release of information; reviewing medical records for offsite storage and retrieval; ensuring accuracy, quality and security of the health record; processing mail; and answering telephone requests for charts and/or medical information release.
QUALIFICATIONS:
Required: High school diploma or equivalent; two years’ health information management; previous customer service experience; proficient computer skills including word processing and spreadsheet experience; excellent initiative; strong accuracy, organization, attention to detail, planning and prioritization skills; clear and effective written and verbal communication skills; ability to maintain effective working relationships with providers, staff, patients, other healthcare facilities, service providers, and general public; ability to perform multiple tasks in a fast-paced environment; and ability to maintain patient confidentiality.
Preferred: Previous scanning and ambulatory care setting experience. Prior Epic experience highly preferred.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Identifies, organizes and scans appropriate health and administrative information into Epic within established timeframes. Imports electronic records into Epic.
2. Reviews records daily to identify information to be abstracted and verifies that it has been entered into Epic.
3. Logs and processes requests for release of records related to continuing care or for personal use using HIPAA guidelines and established procedures. Logs and prepares requests for release of records for external requests (e.g., attorney, life insurance, payor, audits, etc.) to be processed by HIM vendor using HIPAA guidelines and established procedures.
4. Audits placement of scanned documents within Epic for quality and security of overall health record.
5. Answers telephone promptly and courteously, responds to medical information release requests and answers general questions.
6. Prepares and tracks medical records for offsite storage and retrieval.
7. Picks up, sorts, and applies postage to outgoing mail daily.
8. Pulls and delivers charts as requested. Picks up and delivers faxes to appropriate areas. Picks up, sorts and refiles returned charts.
9. Documents incoming patient records. Numbers, sorts and scans all documentation and correspondence into charts.
10. Monitors obituaries and death certificates for deceased patients. Notes date of death in Epic and alerts designated business office staff to close out charges.
11. Collects shredding from all areas of the clinic and places in designated shred bins while maintaining strict confidentiality.
12. Takes ownership of assigned duties, projects and goals.
13. Maintains patient medical records in a manner to comply with ethical, legal and regulatory requirements.
14. Adheres to clinic policies and procedures; and OSHA, infection control, environmental safety, and patient confidentiality standards.
15. Attends staff meetings as scheduled.
16. Maintains courteous, professional relationships with providers, staff, service providers, patients, and general public. Refers concerns to HIM & Coding Supervisor as appropriate.
17. Enhances professional growth and development by attending meetings, seminars, conferences, continuing education courses, etc.
18. Performs other duties as assigned.
ENVIRONMENTAL/WORKING CONDITIONS:
Office setting. Occasional exposure to communicable diseases and other conditions common to a clinic environment. Frequent contact with providers, staff, patients, other healthcare facilities, service providers, and general public.
PHYSICAL/MENTAL DEMANDS:
Varied activities including standing, walking, reaching, bending, lifting, and sitting. Requires full range of body motion. Activities include some lifting and carrying of charts weighing up to 10 pounds; reaching up to 7 feet overhead and bending to floor. Occasional stress from workload.

Salary: $17.50 – $19.50 per hour
