Position Overview
Under the direction of the Chief Counsel, the Legal Assistant will be responsible for providing administrative and secretarial support to the DGC and the Legal Department.
Job Description
Documenting/tracking all subpoenas; liens/levies/withholds; and requests for information from law enforcement or regulators, including maintaining a system for tracking and ensuring timely follow up and creating reports of department activities
In consultation with the Deputy General Counsel, reviewing subpoenas or requests for information from law enforcement or regulators for legal sufficiency and compliance with MetroPlus production policies.
Reviewing and disseminating liens and levies for operational follow-up. Monitor and respond to followup inquiries on lien and levy status.
Coordinate and prepare responses for inquiries from the offices of the Attorney General, District Attorneys, and for inquiries from attorneys on various issues and document all activities related to the inquiries.
Log and track all legal cases brought by or against MetroPlus. Prepare evidence for counsel.
Creating reports and presentation Materials as needed.
Screen and prioritize mail and incoming calls. Maintain meeting schedules.
Resolve routine inquiries, receive callers and visitors; keep schedules of appointments; make reservations.
Prepare agendas, assemble meeting materials, make necessary arrangements, and record proceedings of meetings and conferences, prepare and distribute minutes
Produce and disseminate regular and ad hoc reports
Prepare and edit correspondence and handle distributions and mailings
Maintains document libraries, files, and records in an organized manner for easy retrieval, both paper and electronic
Maintains and tracks the contract library to ensure that it is complete and current.
Keep Deputy General Counsel informed of pending matters and appointments
Requisition goods and services and maintain adequate office and stationary supplies for the Legal Department.
Responsible for submitting and keeping record of all expense requisitions for the department.
Maintain records for staff time keeping and acts as the timekeeping liaison between the Legal Department and Payroll.
Participate in training programs to acquire knowledge of Plan operations
Maintain and update important contact information.
Serve as a liaison to other departments and assist with the coordination of activities involving multiple business units.
Perform other appropriate duties and participate in other projects as assigned.
Minimum Qualifications
Bachelor s Degree and at least 1 year of secretarial experience; or Associate degree and 3 more years clerical experience including 1 year of secretarial experience in a law firm or legal department; or High School Diploma with 4 at least years of secretarial experience in a law firm or legal department
Paralegal training and / or experience preferred
Excellent written and verbal skills
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, and Visio)
Knowledge of NYC HMO operations is helpful
The ability to take dictation accurately, rapidly and to transcribe is optional.
Ability to exercise discretion and diplomacy in all internal and external contact relationships and maintain confidentiality concerning all executive and corporate matters.
Ability to exercise initiative in the preparation of routine correspondence.
Attention to handling administrative details.
High level verbal, written and secretarial skills and knowledge required willingness to assist with work from other areas within the department or company, as time allows.
