Summary Description of Classification:
Under direction, performs varied and highly responsible, often confidential, office and secretarial work for administrators and staff in the office of the assistant superintendent. Meets strict deadlines, coordinates, collects, proofreads/edits, and works closely with administrators to finalize and ensure timely delivery of all material for district distribution and meetings. Exercises considerable initiative to resolve problems and to anticipate and respond to office secretarial/clerical needs. Work involves frequent contact with high-level officials in BCSD and in other organizations, requiring sensitivity, good judgment, and strong interpersonal skills. Must possess an understanding of the organization and functions of BCSD schools and offices, policies and regulations.
Essential Duties and Responsibilities:
Demonstrates prompt and regular attendance.
Performs clerical and office support duties such as answering the telephone, taking messages, making appointments, screening and routing calls; compiles reports; manages email and calendar for assistant superintendent; prepares correspondence for assistant superintendent’s signature.
Manage SAMs process for Assistant Superintendent of HR
Manages department budget and inventory; prepares requisitions and purchase orders.
Approves and reconciles department absences in Executime.
Manages administrative selection process; schedules interviews and prepares interview materials.
Manages job postings/announcements and maintains job descriptions.
Manages contract distribution for all certified staff.
Complete Personnel Action Forms for administrative placements and personnel actions approved by Board.
Manages annual Re-election and At-Risk Process; compiles employee rosters, schedules meetings, distributes correspondence to employees.
Assists with managing department Let’s Talk dialogue and Smartsheet tasks.
Develops department newsletters, meeting agendas, and district calendars.
Complies personnel actions for monthly board reports.
Maintains department webpage, Sharepoint site, employee handbook and procedures manual.
Prepares PL registrations, travel arrangements and reimbursement for assistant superintendent and executive director.
Performs related duties as required or assigned by management.
Education, Training and Experience:
Associate’s degree or equivalent from a two year college or technical school or five (5) years of related experience and/or training; or equivalent combination of education and experience.
Three (3) years’ experience in clerical or program support work is required.
Experience working with current word processing, publication, and data base software applications and possess a working knowledge of spreadsheets and databases.
SALARY/TERMS/BENEFITS:
239 day work year; 8 hours per day.
Salary Range: $26.78 – $30.19 hourly (Grade 61) (placement on salary schedule based on years of allowed related experience). Up to ten (10) years allowed. The stated salary range reflects the opportunity for pay over the course of the employee’s tenure. The top salary is not a potential starting salary.
