The PCS (Patient Care Services) Operations Coordinator provides analytical and project management expertise for assigned area(s) within the Patient Care Services Division at HSC Pediatric Center. This role performs various administrative, clerical, and secretarial tasks within assigned HSC departments under little supervision. Responsible for the ongoing daily operational issues of assigned departments. Provides administrative support to the PCS Director and/or Managers as assigned. Leads or participates in planning, directing, and implementing projects. Assists in the development, monitoring, and implementation of a cost-effective budget. Coordinates and monitors payroll, schedules, and non-clinical systems.

Minimum Education
High School Diploma or GED (Required)
Bachelor’s Degree (Preferred)

Minimum Work Experience
5 years Office experience, preferably in a healthcare environment. (Required)
3 years Business/Healthcare Management Experience (Preferred)

Job Functions
Communications and Office Administration

• Coordinate and schedule office appointments, hospital committee meetings, and conferences with other departments and external customers; answer, respond, take, and distribute messages of incoming phone calls; open and distribute mail and deliver packages for leadership; create and maintain productive relationships with key staff in identified departments.

• Complete travel arrangements and travel reimbursement through Concur system

• Update and maintain the integrity of manuals, files, and intranet sites and communicate any changes to staff.

• Type and proof office correspondences, memorandums, letters, and reports; draft responses to correspondences; file, distribute and retrieve faxes, reports, and other related documents.

• Explore new methods of improving operations; work with the management team to gain acceptance and support implementation efforts; communicate operational issues and progress toward goals to other members of the management team.

• Maintain filing system, office supplies, and equipment; prepare requisition orders, assist with the preparation of departmental financial budgets and variance reports; maintain and replenish office supplies and equipment; prepare purchase orders; complete and distribute standard office forms.

• Participate in budget development. Maintain itemization requirements and justifications for the monthly department budget.

• Coordination of specialty consultations. Schedule consults for each specialty and notify consultants of patients scheduled in a timely manner. Verify completion of all forms and complete inpatient codes for billing. Create and distribute schedule for each unit.

Patient Care Operations and System Management

• Coordinate credentialing and privileging of medical staff in collaboration with the Children’s National Medical Staff department. Prepare appointment and reappointment applications for MEC review and Board approval. Coordinate medical student, resident, and fellow activities in conjunction with directives from the CMO.

• Support departmental orientations and onboarding for new hires as well as temporary credentialing for contractors/temporary staff and volunteers.

• Support clinical managers in developing and maintaining processes and databases to monitor staff competency training.Support training/education events including staff sign-up, room reservation, catering, etc.

• Manage relevant databases and promote the security of information; develop and maintain systems to ensure confidence and integrity of staff records in compliance with hospital policies, procedures, and standards.

• Analyze operational projects (e.g. Hospital systems, benchmarking, research) through internal and external data and report effectively to management and team members.

• Prepare data related to Performance Improvement (PI) for departmental or hospital meetings; submit data to Hospital PI as requested and work with managers to create systems to efficiently produce data reports; prepare graphs and charts for leadership as needed and assist with research initiatives as directed.

Project Management

• Develop and participate in projects to enhance operations; assist, as needed, with coordination and completion related to department operations.

• Assist with Grant Application preparation and submission for grants supporting patient care operationsLead, facilitate and/or participate actively on assigned project teams; ensure complete and accurate minutes; follow through for action items.
