Essential Functions
Represents the City Administrator and serves as a liaison with the City Council, City staff, representatives of other organizations and the public by obtaining and providing information, facilitating the resolution of problems and concerns, and ensuring a timely response.
Maintains a detailed calendar of events, meetings and other activities requiring the City Administrator’s attendance; ensures that the City Administrator is cognizant of the calendar and has all required information and other materials for such functions.
Receives and screens visitors, emails, and telephone calls, providing information and resolving issues which regularly require the use of judgment and the interpretation of policies and procedures; prioritizes contacts for effective issue resolution.
Researches, compiles, and summarizes a variety of informational or statistical materials; contacts representatives of various City departments to obtain materials.
Attends City Council meetings and selected committee and other meetings as required.
Relieves the City Administrator/CFO of certain administrative matters by following up on projects, transmitting information, and keeping informed of pertinent activities.
Reviews materials produced by others for the City Administrator/CFO’s signature for procedural and typographical accuracy.
Composes drafts and a wide variety of finished documents from notes, brief instructions, or printed materials; initiates correspondence and varied written materials independently; reviews finished materials for completeness, accuracy, format, compliance with policies and procedures, and appropriate English usage.
Organizes and maintains various administrative, reference, personnel, and follow-up files.
Promotes and supports the overall mission of the City by demonstrating courteous and cooperative behavior when interacting with public and staff; acts in a manner that promotes a harmonious and effective workplace environment.
Knowledge and Skills Required by the Position
Required Knowledge
Policies and procedures of the department to which assigned.
Use of specified computer applications involving word processing, data entry and/or standard report generation.
Use of specified computer applications involving the design and management of databases or spreadsheet files and the development of special report formats.
Business arithmetic; applicable regulations, policies, and statutes.
Office administrative practices and procedures.
Business letter writing and the standard format for typed materials.
Record keeping principles and practices.
Correct business English, including spelling, grammar, and punctuation.
Techniques for working with the public, in person and over the telephone.

Education and Experience:
Two (2) years of college level course work in business, office administration, management or a field related to the work; AND four (4) years of administrative support experience; OR an equivalent combination of education, training, and experience.
