ADMINISTRATIVE/BUILDING DEPARTMENT
ASSISTANT/INVENTORY CLERK
SUMMARY
Assists the Building Official and Code Enforcer with administrative and clerical support which includes, but not limited to, correspondence, file maintenance, telephone duties with appointment scheduling, data entry and other confidential functions. Grant researching/writing duties. Updates City of Grand
Blanc website as directed. Performs receptionist and customer service duties. Performs related duties as required.
SUPERVISION RECEIVED
Work is performed under the general supervision of the Building Inspector, Code Enforcer, Finance
Director and all other Department Managers.
RESPONSIBILITIES & ESSENTIAL DUTIES AND FUNCTIONS
An employee in this position may be called upon to do any or all of the following essential duties. (These examples do not include all of the duties which the employee may be expected to perform.)
BUILDING DEPARTMENT ASSISTANT DUTIES:
1. Assists the Building Official with administrative and clerical support which includes typing, filing, scheduling and other special projects
2. Maintains files and organizes records of the Building Official. Prepares correspondence, agendas, minutes and statistical reports. Completes forms as necessary.
3. As Building Department support, completes monthly reports documenting permits and fees for new construction, alterations and signs, including reports for City Council. Sends monthly building permit copies to Genesee County Planning Commission.
4. Point Person for Tablets and Inspections
5. Completes budget year and calendar year summaries for the Building Department under supervision of the Building Inspector.
6. Completes special projects as assigned.
ADMINISTRATIVE ASSISTANT DUTIES:
7. Writes/Develops the City Newsletter.
8. Research grant opportunities.
9. Write/Proof grant applications.
10. Answer the telephone, assist residents as necessary and transfer calls to the appropriate department.
11. Assist customers at the counter, process water bills and tax payments. Researches information for residents as requested.
12. Performs other related duties as assigned and helps other office employees as necessary.
13. Assists with special projects as assigned.
INVENTORY CLERK DUTIES:
14. Acts as Purchasing Agent for the City. Monitors quantities of supplies and reorders as necessary.
15. Performs rate comparisons and researches supply catalogs for merchandise requested by employees.
16. Distributes Inventory when received.
