ONE CURRENT VACANCY
Under general supervision, performs a variety of moderate to complex secretarial/clerical work in providing support of the operations of the department. Work involves performing secretarial duties for the Assistant Director and the administration of personnel functions for the department including payroll, leave, workers compensation, performance evaluations, and position maintenance. Reports to Office Manager of Wastewater.
Duties of Responsibilities:
Provides general clerical support to the Office Manager, Assistant Director, and Director including composition of correspondence and reports, preparing meeting materials, answering phones, greeting visitors, and filing.
Manages and prepares reports from multiple spreadsheets of inventories, schedules, and dates.
Assist in conducting research that may be needed to completed for special projects as needed.
Reviews daily department employee call-in voicemails, reports absences to supervisors, maintains documentation.
Collects Leave Request forms from employees and supervisors; assists in identifying and securing required documentation and approvals.
Provide back-up Assistance to Office Manager for the following duties:
Refers to department policies, organizational charts, calendars, Civil Service Rules, Civil Service Classification Plan, City Handbook of Personnel Policies and Procedures, ordinances, correspondence from department Directors and administrative personnel, memorandums, letters, e-mail, policy and procedure manuals, codes / laws / regulations, the Internet, publications, and reference texts, etc.
Operates a variety of office equipment and tools including computer, scanner, copy machine, printer, fax, phone, calculator, hole punch, stapler, shredder, binding machine; uses a variety of supplies including general office supplies, etc; utilizes a variety of computer software applications such as Microsoft Word, Microsoft Excel, and Papervision, etc.
Interacts and communicates with various groups and individuals such as department Director, Assistant Director, Civil Service Department, Personnel Department, Finance Department, directors, other Wastewater employees, and the general public.
ADDITIONAL JOB FUNCTIONS
Performs related duties as required.
Essential Duty status position, will be required to report to work during emergency situations, including, but not limited to, city-wide declared emergencies.
Minimum Qualifications:
Requires a high school diploma or equivalency supplemented by one or more years of responsible administrative support experience with payroll preparation; or an equivalent combination of education, training and experience that provides the necessary knowledge, skills and abilities. Must possess a current, valid Louisiana driver’s license.
