Status: Full-Time (37.5 hours/week; 8:00a-4:30p Mon-Fri)
Grade: 15 (starting at $18.83/hour)
SUMMARY: The Administrative Assistant performs a variety of administrative and clerical tasks; including scheduling, coordination of services and appointments, customer service, data entry, recordkeeping and other general administrative duties for the Code and Planning department.
EDUCATION AND EXPERIENCE: Associates degree, plus two (2) years office/clerical experience with increasingly responsible duties, or equivalent combination of education, experience and training, is required. Effective communication skills with both City personnel and the general public are strongly desired. Additional qualifications include the ability to interpret complex codes as relates to existing or proposed conditions, general knowledge of law, municipal codes and building construction. Must be a Notary Public, or able to obtain this designation within first six (6) months of employment.
WORK ACTIVITIES: Assists in maintaining financial records for various federal grants. Processes accounts payable, accounts receivable, departmental payroll, and deposits. Assists in creating monthly, quarterly, and annual financial reports. Maintains working knowledge of the City’s Economic & Community Development programs. Coordinates daily work assignments of inspectors and code enforcement officers. Provides clerical support to city boards and committees, including posting agenda packets to the City website. Maintains working knowledge of the City’s zoning, housing, building, plumbing, electrical, and fire codes. Processes permit applications and completes data entry into various software systems, maintaining accurate and timely records and information for the department. Assists in revision, design and function of forms and recordkeeping systems and tools. Performs other related duties as required.
