John Jay College seeks staff and faculty members who thrive in multicultural academic environments and are committed to access and excellence in higher education.ABOUT THE POSITIONReporting to the Business Manager, the Administrative Coordinator provides a full range of support for all aspects of Accounts Payable function. In addition to the CUNY title overview, responsibilities include:- Verifying documentation (invoices, supporting documents, purchase orders), and coding for purchaseorder related invoices and direct pay (non-purchase order} invoices.- Investigating and resolving issues associated with the processing of invoices.- Ensures the timely and accurate payment of all outstanding obligations.- Works closely with other areas within Finance and Business Services as well as other Departments, CUNY and vendors.- Communicates with vendors to ensure transactions and procedures are in accordance with University policies.- Respond to vendors and John Jay Community correspondence via phone and email, maintain files, documents, records, and reports in accordance with university policy.- Receive, research, and resolve inquiries concerning account status and communicate the resolution of any discrepancies to the appropriate person(s) via phone or email.- Follow up on open items. Trace errors, recording adjustments, follows up and resolves discrepancies in regard to duplicate payment of invoices and incorrect vendor payments.- Assist with month-end and year-end closing, and assist with other projects as needed.- Reconciles accounts.- Supervises trains interns, and monitors their performance.- Perform special projects as assigned.**QUALIFICATIONS**Bachelor’s Degree required.**CUNY TITLE OVERVIEW**Supports projects, initiatives, and activities that impact an academic or administrative department.- Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.- Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.- Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.- Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.- Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.- Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.- May supervise office staff and student workers.- Performs related duties as assigned.Job Title Name: Administrative Coordinator**CUNY TITLE**Assistant to HEO**FLSA**Non-exempt**COMPENSATION AND BENEFITS**$53,220.CUNY’s benefits contribute significantly to total compensation, supporting health and wellness, financial well-being, and professional development.
