Job TitleExecutive AdministratorJob Description SummaryCushman & Wakefield’s New York Midtown Branch is seeking an Executive Administrative Assistant to support a group of our most successful brokers in handling all administrative tasks required to facilitate the transaction of C&W’s real estate business, as well as play a significant role in increasing broker productivity.Job DescriptionResponsible for providing administrative support to senior level executives (those responsible for leading a business/market, corporate department or service line). Interface with internal and external parties with respect to highly sensitive issues on behalf of management. Interact with a diverse group of internal and external customers at all levels of the organization.Responsibilities* Provide administrative support to senior-level executives* Work independently and/or within a team on special non-recurring and ongoing projects* Act as liaison with other departments and outside agencies; including executive-level staff* Manage executive calendar/schedule; schedule and organize complex activities such as meetings and travel* Initiate and respond to executive correspondence as well as handle confidential and non-routine information* Prepare expense reports, obtain receipts as needed, and reconcile all credit card charges accurately within the required deadlines each month* Update executive’s contacts, keeping current telephone numbers and email addresses* Organize and maintain both electronic and on-hand filing systems* Maintain executive’s to-do list as necessary* Keep track of executive’s licenses, memberships and subscriptions; assist with renewals when necessaryMinimum Qualifications* 5-10 years of EAA experience* Real estate background preferred but not required* Bachelors degree desirableRequirements* Ability to communicate and respond effectively* Demonstrated poise, tact, and diplomacy; appropriate work ethic/commitment level* Proficiency with Microsoft Office Suite* Excellent verbal and written communication skills* Independent judgment is required to plan, prioritize, and organize a diverse workload* Ability to be a team player* Take initiative and have a sense of urgency* Excellent phone and organization skills* Ability to set priorities, meet deadlines and multitask* Proven record of providing both internal and external customer service* Ability to handle sensitive information with discretion* Flexible work schedule* Excellent attendance and punctuality* Stable employment background*Physical Requirements* Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer* In-office role, limited remote work* Ability to speak clearly so others can understand you* Ability to read and understand information and ideas presented orally and in writing* Ability to communicate information and ideas in writing and orally so others will understandCushman & Wakefield provides equal employment opportunity.
