Essential Functions:
Provide general administrative and clerical support including but not limited to:
Filing, photocopying, faxing, and mailing
Compose, type, and distribute professional correspondence, memoranda, and E-mails
Manage project calendars and team calendars as requested
Prepare work agreements and proposals
Review and respond to daily internal and external mail and overnight packages
Coordinate meetings including but not limited to:
Prepare and distribute agendas and other meeting materials
Schedule meetings via MS Teams and MS Outlook
Reserve and prepare facilities and
Meeting Notetaker: Record and transcribe meeting minutes
Serve as initial contact between HR and the organization; answer questions about policy accurately; and field messages (email/phone) to appropriate function (recruiting, employee relations, payroll)
Build trust and positive relationships between HR, staff, and other stakeholders by being readily available to answer questions
Timekeeping, including verification and submission of hourly employee’s time to payroll
Attendance policy administration
Conducts or assists with new employee orientation and training
Serve as point of contact for both candidate and employee inquire
Maintain accurate files, records, and documentation
Assist with the planning and execution of special events such as benefit enrollments, organization -wide meetings, employee recognition events, holiday parties, etc.
Handling the documentation of employee separations and ensuring individuals receive the correct notices
Handle regular employee changes
Attend meetings and other functions as needed
Assist with special projects as assigned
Perform other related duties as assigned by management
Knowledge and Skills:
Proficiency in MS Word, MS Excel, and MS Outlook a must
Ability to use SharePoint
Ability to demonstrate a high level of professionalism in dealing with confidential and sensitive issues
Excellent communication skills
Ability to prioritize projects and strong problem-solving skills
Good research skills and attention to detail
Ability to work independently
Education and Experience:
High School Diploma is required. Associate degree is desired.
2 years’ relevant experience is required
A valid Class C driver’s license is required
Must be authorized to work in the U.S.
Must be able to travel within the Continental United States (CONUS).
Must pass a drug test, motor vehicle record check, a background check, and provide proof of being fully vaccinated for Covid-19 after accepting a conditional offer of employment.
Supervisory Responsibility
This position will have no direct reports.
Work Environment
This position operates in a field work environment, seven days a week and holidays.
Physical Demands
The employee may be required to stand, walk, twist, turn, bend, climb, lift, or kneel. Occasional lifting to 25Ibs may occur.
Travel
May require travel.
