Creative Event Assistant – Roles & Responsibilities

Dinner Ladies is a female run food and events company based in North London, dedicated to providing seasonal and sustainable food packed with unforgettable flavour. Founded in 2015 by two friends, our company holds a huge emphasis on creating a team which is a fun, hardworking and ambitious family.
What we need:
We are looking for an enthusiastic candidate to join our growing team. The ideal person is creative, organised, passionate about food and/or events and enjoys being part of a fun and creative team. Ideally you will have experience using Adobe photoshop and excel and have an eye for design and are willing to jump into a fast paced environment. You would love creating mood boards and have a real passion for table design.
As creative assistant you will work closely alongside the head of creative, looking after all the design aspects for the company. This includes the design and upkeep of all food menus using Adobe Photoshop, as well as creating all marketing and promotional material with your creative skill. You will assist in event styling and set up and sourcing the products for these, including hiring tableware and buying flowers etc. You will upkeep wedding design brochures and assist clients with bespoke looks. You will be in charge of the Dinner Ladies hire collection, buying new pieces, maintaining the stock and storage of these items.
A large part of the role will be to take on the planning and organisation of our successful range of supper clubs, sourcing venues, creating looks and putting this into action by hiring all the tableware and dressing the venue.
As creative assistant you would also assist on company photoshoots, creating mood boards for seasonal looks, planning these shoots, shopping for props and styling on set. You would use this photography to regularly update the website.
As an events assistant you will also assist the head of events in the smooth running of all future bookings, working on the planning, running and organisation of these. You will execute all tasks assigned to you by your event manager associated with the planning and running of a successful event to Dinner Ladies standards.
Working hours: 40 hours a week (full time). Must be available to work some weekends.
Salary based on experience from £24,000 – £26,000 plus benefits

Job specifications:
Responsibilities (creative):
Update food menus twice yearly and make regular pricing adjustments using Adobe photoshop
Create look books and brochures to showcase our work and brand.
Design and create all promotional material for the business including flyers, newsletters, logos, new product branding.
Source uniform looks for the business and handle stock.
Work on moodboards for clients based on their specific menus looks for events, as well as bar, buffet and table looks.
Source all products from tableware, flowers to furniture.
Manage costings and timeline sheets associated with the events.
Buy all design and tableware stock for the business as well as manage the stock, organise and pack it up for events.
Create seating plans and table layouts.
Be the point of contact for hireware, keeping up to date with their stock and helping to create bespoke quotes and templates for sales.
Work on designing and creating our in-house supper clubs, from sourcing venues, to designing looks and sourcing all materials, menu design, promotional material, uniform and influencer and press gifting.
Style and organise photoshoots for the company for the website and social media, create moodboards and colour pallets, planning shoot timings, shop for props and style on set.
Update the website with new seasonal photos and colours.
Contribute to the companies social media account and blog.
Responsibilities (events):
Always arriving early for events and with a positive and enthusiastic attitude.
Attending site visits and making thorough and precise notes for the rest of the team which comply with the information we require.
Orchestrating set up of spaces, making sure sites are ready ahead of guests arrival & being an on-site point of contact for all suppliers and vendors,
Checking that everything ordered has arrived in good condition.
Responsible for ensuring the upkeep of the front of house storage room and stock take is being maintained monthly with the back of house manager.
Assisting with ordering packaging and all front of house stock needed for events.
Responsible for checking the packed front of house kit for larger events and understanding what is needed & conscious of anything that could be forgotten.
Printing all menus for shoots & drop offs as well as labels for buffet events where necessary.
Assisting in all tasks associated with the planning & running of a successful event, inclusive of but not limited to; booking all hire and tableware for events, assisting in ice & drink purchases, confirming all event details in advance & timings.
Contributing to coming up with creative event ideas, whether online events or pop ups.
Managing the master venues spreadsheet and keeping this up to date with the correct information.
Assisting with tastings for weddings and events, making sure that all notes are logged in the wedding information sheet afterwards.
Being point of contact for client, checking they are happy and satisfied with set up and agreed on timings and communicating any of these changes with relevant staff – checking we are ok to leave post event and saying goodbye where appropriate.
Be a leader but also a team player – be proactive in what can be done and what comes next.
Responsible for the smooth running of the event & Dinner Ladies reputation, being a representative and source of information for the company on site.
Managing clear down and pack down of the whole event making sure we leave a spotless venue with no rubbish and happy client behind, ensuring our kit and equipment is safely returned and organised back at the unit.
