Description:
Provide administrative support to the Chief Operating Officer by documenting staff changes, performance reports and communications. Other duties will include recruitment support, scheduling onboarding tasks, processing payroll updates and managing communications for the HR department. Assisting the COO, and other staff, with maintaining a vibrant company culture using team building activities.
What You Will Do:
Staff Recruiting and Hiring support
➢ Collaborate with recruiter and internal hiring team to ensure smooth communication throughout the hiring process
➢ Enter new candidates into applicant tracking software and candidate hiring spreadsheet
➢ Coordination of new applicants, including review of candidate assessments and scheduling interviews
➢ Communicate with candidates to troubleshoot issues or reschedule interviews
New Hire Onboarding Support
➢ Send offer letters to candidates and track all onboarding documents
➢ Assist with the new hire onboarding process, which may include sending forms to new hire, setting up accounts and assisting with first week training
➢ Coordinate hardware purchases & manage devices using Rippling Device management software
General Human Resources Support
➢ Communicate with staff on HR related procedures and updates
➢ Track and file performance improvement plans, support managers with needs around disciplinary processes
➢ New hire employee compliance, including reviewing state and country regulations, and implementation for assistance with registrations for employee withholding and unemployment taxes, forms and research (states & international)
➢ HR benefits management; adding staff to QSEHRA Health platform; Insurance reimbursement tracking, PTO updates, holiday calendar management
➢ Maintain Rippling Employee Management Platform – including updating contact information, compile reports for managers and bookkeeper, tracking devices and update software integration
➢ Offboarding and assistance with research for state laws for terminations ➢ Assist in troubleshooting with company software and accounts
➢ Other administrative duties as needed
Qualifications:
➢ High school diploma or equivalent is required
➢ English fluency and professional written and verbal communication skills
➢ Knowledge of Human Resources preferred; recruiting and hiring experience is a plus.
➢ Ability to follow instructions and respond to direction from Manager
➢ Responsible “self-starter” who keeps commitments to deadlines
➢ Comfortable with a high volume of work when necessary to meet deadlines; completes tasks on time or notifies appropriate person with an alternate plan
➢ Project management – ability to prioritize and manage your tasks effectively
