Job Summary
Estrella Mountain Community College (EMCC) is hiring an Administrative Specialist Sr. (Short-Term) to work under the Learning College philosophy ((please use the apply button below)) where learning happens any time, any way and any place. This position provides administrative support to EMCC’s Center for Teaching and Learning (CTL) which addresses the professional development needs of all faculty and staff on campus.

Essential Functions
30% – Establishes and maintains records related to the performance of the CTL and associated committees, including documenting workshops and events offered, attendance, evaluation, and learning assessment of events, service request outcomes, and other data related to the effectiveness of the Center in achieving its mission. Runs reports of this data as needed, including raw data, graphs, and charts, as well as basic mathematical calculations and statistical analyses.
25% – Assists in budget preparation, including monitoring and reconciliation; develops spreadsheets to monitor budgets; preparing expense reports; prepares requisitions; procurement of general supplies; coordinates events; works with campus fiscal services and the CTL faculty director to ensure accurate records and appropriate usage of funding sources; Maintain database and create faculty payments. Serves as the primary point of contact for payment resolutions.
20% – Serves as the initial customer service representative of the Center to a diverse population of faculty, staff, administrators, students and external community members, including fielding in-person questions, answering phone calls, responding to routine questions via email, routing requests that cannot be addressed immediately to the appropriate person and provide travel arrangements for staff.
15% – Assists in preparing CTL space for workshops and events, works with online room scheduling, creating and placing signage, generating attendance sheets, setting up and breaking down event space, computer equipment set-up, troubleshooting with facilitators and participants when problems arise.
10% – Provides a wide variety of clerical and administrative support to the faculty director and Center team, including composing documents; recording and storing minutes of staff meetings, assisting with managing calendars upon request, managing the physical and digital files of the Center; creating advertisement and market materials.
Minimum Qualifications
Associate’s Degree from a regionally accredited institution and two (2) years of full-time equivalent administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
OR
High school diploma/GED and four (4)years of full-time equivalent administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
Desired Qualifications
A. Bachelor’s Degree or higher
B. Three (3) years of experience or more in a secretarial or administrative support role
C. Experience working in an administrative support position at a community college or university
D. Experience with budget preparation or reports for an organization
E. Experience with procurement
F. Experience with common office software applications (e.g., Microsoft Suite (Excel, Word, PowerPoint) and Google Suite (Docs, Sheets, Forms, Slides))
