Recruiting Program Specialist
The Executive Recruiting Program Specialist is responsible for the coordination and business operations for the Executive Recruiting team. This role manages all candidate logistics, business operations (approval process, client facing reporting, database administration), and business operations duties to support the Executive Recruiting function.
What you’ll do:
Provide administrative/business support to the Executive Recruiting team
Scheduling interviews and phone screens working directly with candidates, executive assistants and hiring managers, in some cases arranging travel for visiting candidates
Provide a high-touch level of customer service to the Executive Recruiting team, the Senior Director + level client group, HR Partners, COE partners
Ensures an excellent candidate experience through prompt follow up and communication with executive candidates throughout the candidate’s lifecycle from initial contact to start date
Ensures on-site candidates have a positive interviewing experience by being their main point of contact throughout their day and ensuring the interview schedule flows smoothly
Oversees the hiring approval process ensuring the timely entry of all new roles in the application tracking system
Partners with HR representatives to receive hiring approval forms and posts all positions through the applicant tracking system – including ensuring inclusion of internal roles on Jobs Just In
Manages the recruiting process beginning with finalist decision
Involvement with offer creation (partnering with compensation, immigration, relocation, global HR stakeholders, legal, etc.), complying with all applicant tracking system moves
Offer letter creation (including offer letters/contracts, equity letters, and relocation policies), and background check initiation and processing
Clearly communicates with partners about updates during the offer process (including immigration, relocation, and HRIS)
Partners with Human Resources Business Partners, Hiring Managers, and Executive Assistants to ensure successful onboarding is planned prior to a new executive’s start date
Provide end-to-end recruiting coordination support for internal candidates
Manage the pre-employment process by managing background checks and acting as liaison between candidates and recruiters
Enter and maintain integrity of data in recruiting database and ATS and produce recruiting reports as necessary
Play a key role in identifying and delivering on opportunities for improvement and efficiency
Who you are:
Must be comfortable interfacing with executives
Possess the ability to multitask, prioritize and complete a high volume of tasks
Demonstrate excellent judgment, discretion and sensitivity when dealing with high profile executives and confidential information
