Position Summary
As the Operations Coordinator, Associate, you will play a pivotal role in the smooth functioning of our business operations. Collaborating closely with our Chief of Staff, you’ll contribute to various facets of organizational efforts, such as human resources, systems management, administrative routines, meetings/events, and operational enhancements. Your exceptional communication skills and intellectual prowess will be crucial, as you’ll work alongside our senior management team, helping to shape our operational success and foster positive client relationships.

Your Responsibilities Will Include
Human Resources: Assisting with project management and tactical execution of HR priorities, including recruitment, onboarding, benefit management, and employee development.
Systems Management: Overseeing various operational systems, such as Unanet, HubSpot, SharePoint, Microsoft, BambooHR, and other innovative tools.
Administrative Support: Streamlining our digital filing system and coordinating travel arrangements, in addition to other tasks assigned by the CEO/President and Chief of Staff.
Meetings/Events: Participating in site location research and supporting event logistics and planning.
Marketing and Communications: Contributing to content development for both external (website, social media) and internal (newsletter) channels.
Special Projects: Assisting and sometimes leading special projects as required.
Qualifications
Experience with executive teams and strong written and verbal communication skills.
A self-motivated and proactive approach, with the ability to navigate ambiguity and find innovative solutions.
Discretion and proficiency in handling sensitive matters.
Prior experience in human resources operations is a plus.
Exceptional analytical and problem-solving skills.
Ability to work independently with limited direction.
Comfortable handling confidential information.
Strong organization, relationship management, and communication skills.
Commitment to diversity, equity, and inclusion principles at all levels.
Capacity to work effectively both collaboratively and autonomously.
Excellent multitasking and attention to detail.
At least 1 year of experience supporting an executive team and 2 years in administrative operations.
