The Fleet Associate is responsible, on a daily basis, for ensuring the smooth operation of assigned fleet duties at the corporate office and to the field. This position interacts with accounting, payroll, field, and administrative services. The fleet team works together to provide high quality and timely fleet services support for the entire organization.
Duties and Responsibilities include, but not limited to the following:
Maintain electronic databases of sales, registration, inspections and maintenance of fleet management.
Ensure fleet availability to meet all requests by scheduling, forecasting and surveying current user trends.
Maintain knowledge and utilize all fleet information and user surveys to forecast new requirements.
Under the direction of the executive staff, lead, oversee, and executive fleet logistics for the organization.
Organizes and directs regional fleet logistics through regional drivers.
Processes accounts receivable including tolls, tickets, and fleet related charges that are responsibility of guest.
Processes accounts payable to local government (tolls, tickets, parking, etc.)
Arrange fleet and fleet’s operational staff to provide support and schedule Special Event Planning.
Perform vehicle registration, insurance and CHP formalities and documentation regarding induction of new vehicles in existing fleet.
Oversee routine and ad hoc maintenance, obtain tags for new vehicles and renew old ones to ensure schedule fleet management.
Assists in obtaining damage claim information.
Oversees In-fleeting of new units: key tags, glove box packages, plating, etc.
Oversees de-fleeting sold units: remove all Go materials and get ready for transport.
Coordinate vehicle transports for incoming/outgoing/sold fleet.
Assist in regional orders for fleet materials, equipment, etc.
Monitor and ensure fleet operation in compliance with local and state rules and regulations.
Maintain and monitor data management system to organize fleets as per various schedules and requests.
Streamline and monitor fuel purchase system with assistance of Fuel Cards for all vehicles and drivers.
Participate in various workshops and educational programs and maintain knowledge on all industry relevant publications.
Develop and implement standard operational standards to maintain vehicles by advocating best practices in industry.
Provide direction to department staff to regulate budget cycle requirements and control budgeting process.
Plan, process and execute vehicle purchase and vehicle replacement through efficient settlement.
Plan and prepare annual budget, expenditures and analyze all financial objectives.
Facilitate and implement corrective actions and capacity building to manage entire fleet to achieve company objectives.
Any other responsibilities assigned by manager.
General Position Requirements:
Bachelor’s degree or equivalent years of work experience
2 years minimum general office/administrative experience. Must be 21 years or older
Valid Driver License with satisfactory driving record, insurability
Able to multitask with an advanced ability to prioritize business needs
Detail oriented; able to ensure accuracy in duties and while carrying out responsibilities
Able to apply strict confidentiality to all work assignments and to information or details exposed to in the Corporate Office
Flexibility to adjust to dynamic, changing/growing work environment
Excellent communication skills both verbally and in writing
Computer literate with advanced expertise in spreadsheets
