Position Description
The Digital Communications Coordinator is a detail-oriented and deadline-driven individual. This person will seek out and implement the latest trends, tools, and best practices in digital marketing that can be applied to current and future communications initiatives in support of fundraising and engagement goals for the Office of Alumni Affairs and Development Office (AAD) at Harvard Medical School. This includes translating broader initiatives into thoughtful digital strategies. Reporting to and working in collaboration with the Managing Director, the Digital Communications Coordinator will be an integral member of a tight-knit and enthusiastic seven-person Development Communications (DevComm) team and collaborate with other AAD business units and various departments across Harvard Medical School and Harvard University.
Essential Functions:
Website Management: Ensure that HMS’s web presence on hms.harvard.edu/giving and alumni.hms.harvard.edu remains up to date, functioning, and designed properly to accommodate user needs.
- Create content and update pages in the Drupal 8 content management system (CMS) with a lens
- Develop and implement content to promote alumni engagement and giving and to reach new audiences interested in philanthropy at HMS
- Work with internal teams to design tailored digital communications solutions
- Establish, implement, and maintain processes, guidelines, and schedules to ensure content remains up-to-date and is continually refreshed across AAD web properties
- Ensure consistency and excellence in web content quality by documenting and enforcing best practices
- Act as website editor with responsibility for reviewing and publishing website content
- Research and implement products and services to enhance our website functionality, including third-party Application Programming Interfaces (APIs)
- Manage third-party applications such as WAVE and SmugMug
- Design visual assets using Photoshop and InDesign
- Develop and oversee search engine optimization initiatives
- Understand and implement Harvard University’s Digital Accessibility Policy
- Request and track all vanity URLs/redirects
- Identify and report on out-of-date content and broken links
Email Communications: Provide project management for select email campaigns, such as weekly gift acknowledgments, bi-annual pledge reminders, and alumni engagement campaigns.
- Create production schedules, develop and upload content, set up, design, manage the approval process, and deploy messages
- Utilize Adobe Photoshop and InDesign to create banners and additional graphics as needed
- Update the University-wide email calendar
Reporting and Analytics: Make recommendations for future strategies and note trends on digital behavior by collecting, analyzing, and synthesizing disparate data sources.
- Use Google Analytics to understand web traffic and user behavior to optimize web pages
- Run email analytics reports in Salesforce
- Track UTM link performance for appeals and advertising campaigns
- Pull Qualtrics survey and web form responses
Online Giving Forms: Serve as the in-house expert for online giving.
- Launch new online giving forms and implement updates to existing forms
- Append appeal codes to forms and create UTM tracking links for all appeals
- Request and track vanity URLs/redirects for print solicitations
- Participate in any relevant University-wide meetings about online giving
- Advocate for and implement new functionality
Surveys/Event RSVPs:
- Work with the AAD Events Team on Certain Events for our two signature annual spring alumni events (Reunion and Alumni Day) to ensure usability
- Create digital RSVPs for events as needed
- Create online surveys and web forms
- Manage AddtoCalendar account and customize for AAD events
- Research and implement feature enhancements
Assist the DevComm team with additional digital assets and publication or production needs that arise.
Basic Qualifications
Four or more years of related experience; education beyond high school may count toward experience.
Additional Qualifications and Skills
- College degree strongly preferred, or an equivalent of education plus relevant business experience.
- Proficiency with content management systems and email and analytics tools, such as Drupal, Salesforce, Google Analytics, and QlikView
- Understanding of web standards, including SEO, accessibility, and usability
- Proficiency with HTML
- Proficiency with Adobe Creative Suite, including Photoshop, Dreamweaver, and Acrobat Pro
- Proficiency with photo and video/audio platforms such as SmugMug, Wave, Vimeo, and SoundCloud
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Familiarity with Project Management platforms, Monday.com preferred

This position is based in Boston and some in-person on-campus work will be required, and flexible/remote work is an option.
