Hearst, one of the world’s leading diversified media and information services companies, is seeking an experienced Executive Assistant to support the Senior Vice President, Public Affairs and Communications. In this exciting role, the executive assistant will not only provide administrative support, but also participate in various projects and initiatives, some with a high-level of exposure and across multiple businesses. The ideal candidate will be someone with both the skills and sharp attention-to-detail required to effectively support a senior executive, as well as ambition and a desire to use this position as a jumping off point to do something bigger and bolder – inside or outside the company. A personal interest in the increasingly important area of Corporate Social Responsibility (CSR) is a plus. The ideal candidate can just as effectively schedule a meeting as they can put together a presentation on social impact trends. Responsibilities: Management of complex calendars with various scheduling requirements. Coordination of all business travel, domestic and international, including booking flights, hotels, cars and other services. Coordination of executive communications, including taking calls, scheduling Zoom meetings, responding to emails and interfacing with other executives, employees and guests. Preparation for all meetings with senior executives and other guests, including reserving space, catering (if required), document preparation and other logistics. Field inbound communications and exercise solid judgement in determining the appropriate resource to address the request. Understand company policies and procedures, written and unwritten, to ensure appropriate decision-making protocols are followed. Collaborate with other assistants in the office to ensure the executive team is supported and other priority obligations are met. Participate in various meetings and conferences as needed. Research key trends and developments in the broader CSR field and help identify important moves by peer-set companies that may be relevant to Hearst. Design PowerPoint presentations for an executive audience and build simple Excel files with basic formulas to analyze data. Qualifications: Minimum 4+ years as an Executive or Administrative Assistant, reporting to a senior-level executive. Bachelor of Arts degree preferred. Advanced Microsoft Office skills, including Outlook, PowerPoint and Excel, with an ability to learn company-specific programs and software. Strong attention-to-detail, proofreading and editing skills. Proficiency in collaboration and delegation of responsibilities. Ability to handle competing demands in a high-pressure, dynamic environment Exceptional interpersonal skills. Friendly and professional demeanor. Ability to communicate clearly and effectively, including with members of senior management. Possess high-energy and intellectual curiosity.
