Heritage Senior Living is seeking an Executive Director to join our team!

As one of the country’s industry leaders, we provide exceptional senior care and services throughout Wisconsin. Heritage Senior Living’s goals are to enhance residents’ quality of life and to continue its growth and success. Our plan is to open one to two new senior communities per year and develop centers of excellence that provide comfort, care, quality, and specialized dementia services.

The executive director is responsible for the overall operations of the community including clinical, life enrichment, culinary, housekeeping, marketing and maintenance departments. Reporting to the chief operating officer, the senior executive director ensures that the community meets all regulatory compliance requirements, fulfills staffing needs to provide residents with high quality care, and is a leader in customer care. This is an exempt position.

• Meet the minimum requirements of DHS 89 and DHS 83 for executive directors

Quality and Service Delivery

• Promote and comply with Heritage procedures and policies
• Set standards for quality assurance
• Foster positive family relationships
• Ensure that systems are in place for all aspects of resident care, wellness and life enrichment programs
• Assess current residents for change in condition; document as needed and inform appropriate teams and families in a timely manner
• Monitor quality processes utilizing Heritage audit form
• Evaluate quality customer satisfaction survey and create/execute improvement plans
• Ensure proper respect, dignity, privacy and quality of life for all residents
• Reduce or maintain psychotropic medications
• Ensure respect of policies and procedures at 90%-plus
• Achieve an 80% customer service rating

Compliance

• Maintain quality work conditions (including but not limited to break room, schedules, uniforms, etc.)
• Ensure all aspects of regulatory compliance are met for a CBRF/RCAC community, including workers’ compensation, Fair Housing and OSHA
• Demonstrate a working knowledge of HFS 83 and HFS 89 regulations
• Demonstrate a working knowledge of risk management and quality care indicators and effective management of these areas
• Follow all HIPAA regulations
• Maintain files on any inspections, certifications, license renewals, surveys and sentinel events

Community Relations

• Maintain positive working relationships with local ombudsmen, health inspectors, fire department or any other inspection organization; notify regional director immediately of any inspecting organization entering the building
• Make frequent community tours to ensure the property is clean and well- maintained
• Maintain updated knowledge of community resources
• Protect and promote Heritage’s reputation and track it through referrals and decreased concerns, complaints and sentinel events

Sales and Marketing

• Create and promote an effective sales culture in the community
• Oversee all aspects of the on-site marketing program, including phone inquiries, tours, and follow-up calls
• Follow up to ensure consistent marketing in the community; manage community outreach programs and assist in strategic marketing with referral sources to execute operational and clinical approach
• Act as a resource on issues concerning aging and seniors to a variety of audiences
• Manage admission, discharge, and transfer processes
  • Meet with resident or responsible party to ensure that proper expectations have been communicated and resident needs can be met
  • Ensure that new resident information is completed prior to move-in
• Maintain integrity of the HSL brand and adhere to all brand requirements
• Meet or exceed 95% occupancy, demonstrating year over year improvement
• Marketing and Life Enrichment
• Develop and communicate marketing and life enrichment events
• Ensure that activities are proposed to all residents
• Involve employees in activities
• Integrate art, physical activity as appropriate, culinary, animals, socialization, etc. into activity calendar

Budget, Financial Management, Performance Metrics

• Maintain fiscal and budget responsibilities in all daily operations
• Ensure budgetary compliance and profitability
• Complete the monthly variance reports
• Generate monthly billing and timely account receivables
• Maintain timely census data and reports
• Train department managers in understanding their budgetary responsibilities
• Participate in the annual budget process
• Manage Rhythm of the Business
• Communicate the corporate strategy to key constituents in the community
• Participate in corporate office meetings and trainings
• Create, utilize, and update a community action plan
• Engage families to ensure that expectations are being met or exceeded
  • Maintain strong communication and organization with residents, families, and teams regarding food, life enrichment, MC, and quality surveys
  • Conduct individual meetings (30 days and ISP reviews) and monitor and document concerns
• Organize and lead a weekly leadership staff meeting
• Ensure the occurrence of a daily care focus meeting each shift on a daily basis per policy
• Organize and participate in the manager on duty program
• Oversee and participate in weekly on-call program
• Report all sentinel events to the regional operations director
• Submit/generate all required reports on a timely basis
• Demonstrate proficiency in MS Outlook, Word, Excel, and PowerPoint
• Represent company standards of professionalism and appearance at all times

People Management

• Adhere to company HR policies, procedures, and all applicable regulations
• Manage hiring, training and development, assessment and supervision of all employees
• Manage the employee performance appraisal process
• Ensure a schedule is maintained for appropriate staffing in all departments on all shifts
• Educate staff through flash trainings and all-staff training days.
• Complete annual staff performance evaluations
• Approve new move-ins for financial criteria
