The Administrative Assistant for the Office of Curricular Affairs is responsible for providing administrative, operational and
programmatic support services to the Office of Curricular Affairs. The Assistant will report directly to the Associate Dean for UME
Affairs.
Duties and Responsibilities
- Maintains calendars of key team members of Office of Curricular
Affairs and sends out reminders of impending appointments. - Coordinates and schedules travel, meetings, and appointments for team
members. - Prepares agendas and schedules for meetings.
- Assists in the planning and overseeing significant events such as
curriculum retreats, faculty development sessions, etc. - Assists in managing the budget for special and routine events.
- Coordinates room reservations for all learning spaces.
- Makes reservations for various off-site meetings.
- Supports
Curriculum Coordinators with preparatory work for course sessions as well as onsite delivery. - Assists in maintaining systems and
processes such as sharepoint, google drive, etc. - Acts as a liaison between different departments.
- Assists with
communications to staff, faculty, and students. - Records and distributes minutes or other records for meetings.
- Reserves
equipment and conference rooms for presentations and in-office meetings. - Creates presentation materials using computer software
such as PowerPoint, Excel, Word, etc.
Minimum Education
- Associates Degree required; Bachelors
preferred
Qualifications and related experience
- Minimum of two years of related experience as an
administrative assistant - Excellent written and oral communication skills
- Exceptional attention to detail and accuracy
- Ability to write reports, business correspondence and procedure manuals
- Excellent organizational Skills
- Ability to
manage multiple projects - Ability to work independently or as part of a team and meet deadlines with limited supervision
- Ability to use Microsoft office suite and google suite
