Role Mission: The Director of Human Resources Special Projects is responsible for leading special initiatives and supporting the achievement of 100% of HR goals and annual priorities. The Human Resources team at IDEA Public Schools works to provide best in class services and ensure a safe, great place to work for all.
Accountabilities
HR meets goals and is regarded as best in class amongst peers
Supports HR leaders with designing, preparing for, and facilitating team strategy meetings and step-backs
Deeply understands HR team data to support the team with identifying opportunities for collaboration, blind spots, or areas to improve practices through cross-functional work
Identify and improve metrics of performance for how we measure effectiveness of Human Resources efforts and provide efficient strategies to collect, access, and review needed data
Ensures HR Data Board is complete and up to date, in partnership with the Data Analyst supporting HR
Provide training to HR team member to ensure all data is accurate and up to date
Serves as HR’s high-level consultant and project manager
Ensures strong operating mechanisms and follow-up across HR national and regional teams
Works with other HQ Teams to coordinate cross-collaboration on events and projects, ensuring timely follow-up, anticipating needs, and resolving problems
Ensures all communication to key constituents around expectations, deadlines, and deliverables is clear and on time
Leads and spearheads high level projects based on team needs; executes on and manages others to meet project deadlines
Collects all relevant data from various sources on HR and elsewhere to present in clear and concise visualization templates
Develops, drafts, and executes communication and messaging campaigns on behalf of HR
Collect, curate, and update the HR Hub site for all staff and One Stop Shop for HR team
Responsible for high quality design, delivery, and accuracy of HR team content on the Hub
Manages 100% of content submissions for the HR team’s Hub site, providing support to managers as needed for collection, curation, and updating; seeks opportunities to continuously improve content
Collaborates to ensure 100% of content is accurate and appropriately curated
Develops and implements strategies to drive staff across the organization to HR Hub site
Collaborates with Software Development team to troubleshoot technical issues
Sets benchmarks to improve use of site and collaborates with HR leaders and Software Development team to implement
All personnel files are complete
Complete and/or oversee monthly and annual audits and engage with staff according to audit protocols (I-9, criminal background checks, personnel files, etc.)
Deeply study legislative updates, legal briefings, and education entity writings to understand HR requirements and updates
Create protocol for personnel file contents, develop project plan to ensure all personnel files meet the protocol, conduct team audits to ensure successful migration
Business partner with teams on appropriate record and file keeping practices as it relates to personnel files
Execute on and manage others to meet project plan deadlines
Conduct monthly audits of personnel files by region; partner with regional HR teams to identify and bridge gaps in employee records
Compile monthly reports to regional and national team detailing gaps in certifications and degrees
Ensure applicable staff sign Non-Disclosure Agreements, Certificates of Personal Assistance, and Conflict of Interest Disclosure on appropriate schedules
Design and lead customer service and Zendesk support model
Monitor HR Zendesk and ensure tickets are acknowledged within 12-hours and resolved within 48-hours when applicable
Provide training and support for Zendesk agents (HR Clerks) and serve as department liaison to Zendesk team
All employees complete I-9 part 2 on time
Conduct weekly I-9 audits of staff pending I-9 Section 2 documents
Ensure pending I-9 Section 2 documents are properly submitted by staff member’s 3rd day of work
Conduct weekly audit of I-9 compliance for staff with non-permanent work authorization
Connect with staff members with non-permanent work authorization no later than 6 months prior to document expiration, ensuring staff have plan to renew
Partner with New Hires team to ensure receptionists are trained and have access to Tracker I-9
Problem solve with the Operations and New Hires teams when there are gaps in receptionist completion of I-9 part 2

Qualifications:
Education: Bachelor’s Degree or equivalent experience required
Experience: 5+ years professional experience
Licenses or Certifications: PHR / SPHR and/or SHRM-CP / SHRM – SCP preferred, PMP preferred
Knowledge and Skills:
Experience in all areas of human resources, including talent management, change management, staff relations, organizational development and training.
Possess solid business acumen for processes outside of HR
Experience applying analytical and process driven HR practices
Experience providing exceptional customer service to internal and external stakeholders
Experience apply strategic thinking in all experiences and then working in a hands-on fashion to accomplish multiple goals / priorities
Experience coaching and providing upward feedback to all levels in the organization
Compensation & Benefits
Salaries for people entering this role typically start between $66,600 and $80,600, commensurate with relevant qualifications and experience. This role is also eligible for a performance bonus based on individual and organizational performance and goal attainment. Additionally, we offer medical, dental, vision, and supplemental benefits as well as retirement plans and a generous vacation package, including four weeks of school vacation time in addition to 15 annual Personal Time Off (PTO) days. Location:
The Director of HR Special Projects must currently live in or be willing to relocate to Texas, with preference for one of our regions in Austin, El Paso, Houston, Permian Basin, San Antonio, Tarrant County, or Rio Grande Valley.
