Job Description
Essential Duties and Responsibilities Finance (70%) Coordinates accounts payable processes e.g., liaising with vendors, staff, and finance team to collect required documentation and approvals. Supports accounts receivable processes e.g., completing payment applications, sending invoices and receipts. Registers and maintains supplier portal requests from customers. Responds to customer inquiries regarding invoices and payments. Generates financial reports, e.g., relating to payments due. Maintains financial records, vendor information, and tracking information. Maintains finance policies and standard operating procedures. Coordinates with ISPOR staff and vendors to collect information and reconciles bank and credit card statements. Acts as an administrative liaison for the bank, credit card accounts, financial vendors, and systems eg coordinating corporate credit card updates, and collecting VAT filing information. Assists with finance projects eg relating to accounts receivables or tax exemption filing. Human Resources (25%) Maintains accurate and up-to-date human resource files, records, and documentation. Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to Director, HR. Maintains the integrity and confidentiality of human resource files and records. Performs periodic audits of HR files and records to collect and file all required documents appropriately. Acts as an administrative liaison between the organization and external benefits providers and vendors, including health, disability, and retirement plan providers. Supports new hire orientation, staff recognition, and staff training. Assists with recruitment processes, for example maintaining records, scheduling interviews, and communicating with candidates and hiring managers. General Administrative (5%) Provides administrative and scheduling support to Human Resources and Finance departments. Assists Associate, Operations in providing customer service by phone, and managing office visitors and deliveries. Minimum Qualifications (Education, Knowledge, Skills, and Abilities) Minimum High School Diploma or equivalent required; Bachelor’s or associate degree in finance, Accounting or related field preferred. 2+ years of directly related work experience preferred. Experience in finance accounting and payment systems, customer database software and HR information systems preferred (Sage Intacct, NetFORUM experience highly desirable). Highly professional, articulate self-starter capable of developing and executing multiple projects simultaneously. Must discern sensitive issues and handle them with discretion, confidentiality, and professionalism. Exemplary organization, communication, project, and prioritization skills. Successful performance in a matrix/cross-functional team environment with a natural affinity for working collaboratively across teams, cultures, and experience levels. Collaborate cross-functionally throughout the organization with various levels including leadership, members, and peers, across teams and cultures, and experience levels. Highly proficient in MS Office and ability to learn new technology platforms. Solid business acumen and creative problem-solving skills. Personal qualities of integrity, credibility, and commitment to the mission of ISPOR.
