OVERALL RESPONSIBILITIES
Works closely with the Sales and Marketing Assistant and Executive Director to grow revenue/increase occupancy through designated processes and activities, while meeting, or exceeding Western States & Legacy Retirement Communities hospitality and service standards. Exemplify “Personal Touch Culture”. Assist in promoting the visibility of Legacy Village of Castle Pines within our community markets. Aide in the development and continued purposeful relationships with Professional referral partners and the general public with the goal and intention of providing solutions, assist families, and increase community occupancy through consistent referrals that support a move in pipeline.
You will have daily interactions with Residents, families, guests, associates, professionals, the general public, and those at the corporate office.
PRIMARY JOB DUTIES
Assist in responding to all new inquiries – quickly
Assist in qualifying prospective residents, effectively matching our services to their needs to maximize move-in potential.
Assist to maintain the community’s Customer Relationship Management (CRM) database on a daily basis by collecting and entering accurate information about new inquiries, recording consistent and appropriate follow up communication (“next steps”) with inquiries and prospective residents, and all scheduled movement (deposits, move ins, move outs, transfers, etc.).
Assist in developing and maintaining relationships with any and all potential referral sources and key professional influencers for Western States & Legacy Retirement Communities. Coordinate purposeful and intentional outreach/outside contacts utilizing face-to-face and virtual visits, email, telephone calls, texts, events, etc. to secure referrals leading to increased occupancy. Coordinate and communicate visits with Community Relations Director where appropriate.
Assist in qualifying all current and potential referral sources, effectively matching our services to their needs to maximize referral potential.
Assist in planning, nurturing, and visiting market professionals (i.e., physician/clinical providers, rehabilitation centers, hospital discharge planners, senior centers, and other local professionals). Visit and make presentations utilizing purposeful collateral to educate on services provided by Legacy Retirement Communities to secure referrals leading to increased community occupancy.
Assist in accurately tracking move ins, move outs, quantity, and quality of referral activity, determining appropriate follow up actions.
Assist the Executive Director and Sales and Marketing Manager in ensuring that the community, including all available apartments, model apartments, respite apartments, common areas and grounds are staged, marketable and presentable.
As necessary, assist the Leadership Team in completing the necessary move-in paperwork ensuring a smooth transition for the resident and acting in compliance with company policies and appropriate state licensing regulations. Use tools (i.e., Senior Sign) to help facilitate timely and smooth process.
Assist with coordinating move-in and transfer arrangements. Working with community staff (i.e., Housekeeping, Maintenance, movers, etc.) to ensure apartment readiness.
Support and assist in preparing, planning, and coordinating purposeful and intentional seminars, lectures, and events to bring more prospects, community members, and key influencers to visit and tour the community, consistently (at least once a month).
Assist with the annual Sales and Marketing Plan of the community to aide in the completion of all planned advertising, events, community outreach, social media posts, community video production, etc., in plan. Communicating and coordinating with others (i.e., graphic design, production teams, Home Office) as needed for timely and efficient implementation as assigned.
Keep updated about relevant company, operational, and competitive information in order to respond effectively to inquiries from contacts and convey our value through Western States & Legacy Retirement Communities points of difference.
Assist in researching and maintaining current information (including pricing, etc.) on local competition and new services and competitors entering the marketplace. Quarterly, and as requested, assist in gathering specific market/competitive information and report findings.
Attend and participate in Western States & Legacy Retirement Communities sales & marketing training events/meetings and maximize techniques and opportunities to grow census/revenue as appropriate.
Assist with development of purposeful and intentional marketing campaigns and events to advertise points of difference and core competencies of Legacy Retirement Communities to market, manage and generate referrals leading to increased community occupancy.
Assist in the participation of Professional for Seniors local groups, health and wellness fairs, golf tournaments and other gatherings of seniors and influencers, exhibit and sponsor as appropriate.
Assist in the participation of Alzheimer’s Association and other purposeful non-profit organizations (Parkinson’s Association, Diabetes Association, Senior Expo, Senior Games, Heart Association, etc.). While building trust to optimize opportunities to provide solutions to others during their events (Longest Day, Alzheimer’s Walk, Dementia and/or Parkinson’s Support Groups).
Maintain and protect the confidentiality of resident information at all times.
May perform other duties as assigned by your supervisor.

A clear understanding that Senior Living sales and marketing is about increasing revenue and growing census/occupancy, as we work smart to provide solutions to prospective Residents, Families, Associates, and Professionals.
Pushing, pulling, bending, stooping, twisting, and upward reaching. Prolonged periods of standing and / or walking may be required. Physical ability to assist in transferring residents. Lifting people, objects may be required.
