JOB TITLE: HR/AP Specialist
REPORTS TO: Administrator and Senior Director, Business Office

Summary: The HR/AP Specialist is responsible for the coordination and processing of a weekly payroll and processing accounts receivable for an approximately 250 staff of a short-term rehab and memory care skilled care center.
Essential Responsibilities:
Payroll:
· Enter management time sheets, enter vacation/sick, enter baylor, review all department time sheets for accuracy, edit system coding as needed, complete Actual Vs Budget report for final approval prior to transmission.
· Verify /track referral and sign on bonus, fill out PAFS and pay accordingly.
· Complete weekly payroll report, monthly payroll summary and deduction tracking report. (monthly reports updated weekly)
· Submit funds to 403(b) provider.
· Complete direct deposit, rental and evaluation reports weekly.
· Complete accrual reports monthly.
· Generate list of staff worked on Thursday for COVID reporting.
· Monthly reconciliations: Benefits, Amazon bill, Pcards.
· Enter new insurance enrollments/terminations/changes into the insurance company portals.
AP:
· Verify invoices go through PO system tracking, enter data to PCC daily if possible. Complete a check run weekly. Reconcile AP checklist monthly. Follow up on vendor inquiries and assist in reporting as needed. (COVID/Reno) Respond to requests for documentation during audits. Mail AP checks when they come in.
· Run and review PBJ quarterly.
· File all AP and employment information into files timely.
HR Administration:
· Prepare annual and 90 day evaluations for managers monthly.
· Complete income verifications and reference inquiries.
· Check DUA site and respond accordingly on a weekly basis.
· Respond to employee inquiries regarding benefits and payroll related questions.
· Keep HR files in compliance.
· Administer PFML/STD to staff and let management know of approval dates.
· Complete I-9 paperwork.
· Complete CORI paperwork.
· Prepare for orientation presentation weekly.
· Create name tags.
· Performs other duties as assigned.
