The Procedural Services Coordinator coordinates all logistical details involving scheduling exams and procedures for surgery, IR and OB. The Procedural Services Coordinator is also responsible for accurately registering customers into the hospital system. Ensures customers are correctly identified and all appropriate information is recorded by obtaining and verifying customer identification, demographic and insurance information. Actively and consistently demonstrates the mission, vision, values and guiding principles of Maple Grove Hospital.

What we’ll expect from you

1. Establishes an advanced computerized surgery schedule:
a. Searches for requested date and time.
b. Recognizes scheduling contentions and acts accordingly (surgeon, procedure, and equipment).
c. Obtains accurate customer demographic, case admissions and surgical procedure data.
d. Conducts intake interviews to accurately register customers within the hospital system.
e. Maintains flow of required registration information to the appropriate areas while maintaining customer confidentiality.
f. Conducts routine reception and clerical responsibilities to include filing, chart assembly, and report processing.
g. Runs reports and initiates corrective action as necessary to ensure accuracy and completeness of customer information.
h. Ensures and protects customer privacy by accessing or retrieving customer information as needed to perform the essential duties of the position.
i. Recognizes and complies with legal and procedural requirements related to area of responsibility.
j. Reports areas of concern or potential violations to supervisor or other members of hospital leadership via established methods of communication.
2. Ensures a smooth flow in the completion of the procedural process:
a. Correctly identifies and adds new surgeons to system.
b. Maintains and reports on quality indicators.
3. Provides support for daily services:
a. Works closely with Manager in preparation of next day’s surgery schedule.
b. Completes the customer charge process.
4. Recognizes and complies with legal regulatory, accrediting and procedural requirements related to area of responsibility.
5. Understands and follows principles and standards as outlined in Maple Grove Hospital’s Code of Conduct.
6. Protects customer and team member privacy and only accesses customer and/or team member related information as needed to perform job duties.
7. Reports violations or areas of concern to leader or Corporate Compliance Officer via established methods of communication.

Education

* High school diploma or equivalent education.
* Satisfactory completion of approved medical terminology course.

Experience, Knowledge, Skills, Abilities

* 2+ years’ Unit Secretary/Surgery Scheduling experience.
* 2+ years’ experience in an administrative/secretarial role with strong detail-orientation, organization and clerical skills.
* Strong knowledge of surgical procedures and medical terminology.
* Ability to deal with frequent interruptions, high level of stress and able to handle multiple tasks simultaneously with minimum supervision.
* Demonstrates ability to prioritize workload, using time effectively to achieve expected productivity and efficiency.
* Uses supplies and other resources (e.g., equipment, computer systems, tools, energy) efficiently and effectively.
* Strong communication skills with demonstrated ability to express ideas and information (both in written and oral form), clearly and concisely in a manner appropriate to the audience.
* Demonstrated ability to deal with conflict in a positive manner. Has an awareness of, responds to, and considers the needs, feelings and capabilities of others.
* Ability to be accountable for quality customer service and respond appropriately to a variety of personalities and situations.
