QUALIFICATIONS: High school diploma or GED required. Demonstrated knowledge of health and nutritional needs of adults and children preferred (CNA, home health aide, health educator, etc.) Minimum experience of at least two years’ in an administrative positon required. Must have a current driver’s license as well as a good driving record. Must be a self-starter as well ability to work independently with minimal supervision. Must have good communication skills and ability to deal tactfully with public by telephone as well as in person. Experience with adding, subtracting, multiplying and dividing whole numbers, fractions, and decimals. Ability to record information accurately and legibly required on a web-based WIC Information System Program. Enjoys and works well with children. Must complete Idaho WIC Program Paraprofessional Training Basic Skills unit within 6 months of hire and Advance skills within 12 months of hire. Must be able to represent the principles of WIC. Utilizes knowledge of State of Idaho WIC policies and procedures, HIPAA, OSHA, and other regulatory agencies in performing all duties in work setting.

ESSENTIAL RESPONSIBILITIES:

• Works with patients to determine eligibility of community health services including WIC, transportation, foot care, etc.
• Compares data collected with established standards and documents in patient/client record.

Provides explanation of WIC Program policies and procedures to clients and their caregivers. Educate clients, and their caregivers, on how to use eWIC cards at each certification. * Ensures accuracy and consistently meets deadlines of quarterly reports submitted to appropriate funding agencies.

• Performs certification and re-certification procedures for each WIC participant.
• Coordinates Community Health services with specifically for participants defined as high-risk.
• Participates in outreach events, as needed, to reach and maintain program caseload.
• Communicates with Community Health Manager regarding policy, procedure, clinic, or staffing issues and suggests ideas for improvement or success.
• Works with CH staff to maintain supply inventory orders and stocks supplies and ensures office equipment is in good working order and office environment promotes productivity.
• Periodically reviews clients charts to ensure all necessary appointments are made and stage benefits are schedules.
• Using critical thinking skills, maintains efficient record- keeping and filing systems. Classifies, sorts, and files records and other documents in a timely manner.
• Obtains participant height, weight, and hemoglobin measurements for each certification and document in WISPR. May obtain Blood Pressure reading. Maintains clinic areas using aseptic techniques.
• Provides general office or administrative duties as required. Monitors lab proficiency testing and equipment standardization.
• Maintains toys/books in a clean and orderly fashion for participants after each visit. Including all scales and boards.
• Implements Value Enhanced Nutrition Assessment (VENA) model of client assessment and education for each certification and document in WISPR.
• May assist in Community Health outreach events and screenings for hearing, vision, and development, prepares clients for tests or exams for local schools and various tribal programs.
• Actively participates in ensuring that WIC services are open and available daily within clinic hours whenever possible.
• Orders and restocks medical supplies as needed
• Describes program requirements, client rights, and obligations during the intake process.
• Informs and offers written information to clients of other community health and social service resources.
• Offers, reviews, and documents clinic literature with client based on identified problems.
• Explains use of program benefits.
• Encourages breast/chest feeding by promoting it as the optimal nutrition source for infants and by providing mothers with the necessary tools for success.
• Provides health, nutrition and breast/chest feeding guidelines and information to groups and individuals using professionally prepared materials.
• Distributes program outreach materials.
• Participates in Case Management meetings with the Registered Dietician and Community Health Nurse.
• Establishes and maintains client records in a complete and timely manner.
• Enters purchase orders into workflow and classifies according to source type.
• Maintains appointment schedule to ensure caseload is met including: utilizing WISPR report for follow-up contacts monthly and mailing post-card reminders for appointments two weeks before appointments.
• Compiles data for program reports.
• Maintains inventory of office supplies.
• Dispenses eWIC cards to eligible participants after verifying eligibility and completing certification.
• Uses office computer to collect, store and retrieve client data. Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
• Performs other administrative duties within Community Health to include: front desk reception (provides client/patient reminder calls prior to upcoming appointment to minimize the no show rate, schedules, receives and directs clients and visitors to the appropriate areas representing the department in a positive manner), assistance with events and other clerical needs.
• Offers and provides at least two nutrition education contacts as well as accurate documentation of the nutrition education topics discussed to each participant during each 6 month certification.
• Assesses and assigns all relevant nutrition risks/proper documentation in participant care plan.
• Maintains consistent attention to detail when charting/updating participant records in WISPR (electronic charting) and Marimn Health’s EHR (electronic health record/NextGen).
• Responsible for providing WIC services support to ensure smooth operation of all aspects of administrative support for Community Health as well.
• Follow-through and follow-up with time-sensitive information for submissions, filing, and record retention.
• Conducts monthly update meeting with WIC Coordinator and Community Health Programs Coordinator.
• Attends all trainings as required for WIC and Marimn Health.
• Implements requirements of other grants as well as submitting reports, invoices, and attends mandatory meetings/trainings required by awarding agency.
