SUMMARY : The Benefits Administrator is responsible for the day to day account management of client accounts, with respect to benefit administration. This includes enrollments, additions, terminations, and changes in all lines of insurance coverage benefits, to include medical, dental, vision, life, STD/LTD and worksite products, employer paid and voluntary products. These administration duties are conducted with clients’ completed forms, carrier portals and/or HRIS systems, where applicable. Duties also include monthly benefit audits and reconciliations.
Essential Functions:
Client Service/Satisfaction: responsible for the day to day account management for clients and their employees including enrollment, additions, terminations and eligibility assistance, and fielding general employee questions on employers’ benefit programs in a timely manner.
Ensures all clients’ allow the Montage administrator administration rights to manage the administration for the HR Department with either the carriers or benefit enrollment systems. Working with clients for set up and carrier representatives as needed.
Either works with carrier systems or HRIS-benefit enrollment systems daily, inputting adds and terms of employees and dependents, as requested by the client. These requests are made by either the Montage form or our COBRA software.
Sets up each client with all the current plans per the contact sheet provided by the account managers. At renewal, the process is updated per the renewing plans.
Using the applications or forms sent by the client, makes necessary inputs and then keeps a log of all inputs concerning these add(s) and term(s) of employees and dependents; ensuring all lines are enrolled into, or termed off as per the applications or HRIS-benefit enrollment systems. These include all employer paid plans, and all voluntary plans the employee and any dependents are enrolling into or terming from.
Is responsible for the maintenance of current census information. Inputting the add(s) and term(s) throughout the year to the original census, provided by the clients or account managers. This census is used for renewal marketing and requested of this department/role by the account managers.
Works with the COBRA department by auditing all terminated or newly hired employees to ensure the core benefits (Medical, Dental, Vision, Flex) are correctly inputted into the client portals AND auditing the other lines of coverage that are not COBRA eligible. These audits will be conducted by reconciling the carrier bills or carrier portals. These audits are conducted monthly to confirm all inputs have been properly recognized by the benefit enrollment system and ultimately the carriers and match the bills.
If discrepancies exist, the carriers will be contacted and proof of add or term will be sent to ensure the bills are correct; and will be reconciled the next month to confirm the proper add or term has been completed; and is correct on the next months’ bill.
