DESCRIPTION
The Program Manager will report to the Executive Director, Global Head of Employee Meetings Management and support the larger team, Travel Meetings Management (TMM) with delivering first class travel and meeting services. You will be responsible for establishing a high-quality corporate meeting planning team in the US (venue sourcing, planning logistics, attendee management, budget reconciliation and on-site planning support). This is a new program within Corporate Services and requires a business expert with experience in building high performing meeting teams for complex, high visible corporate meetings. This role will be responsible for overseeing and executing RFP’s, negotiations, site inspections, contract, program communications, transportation, VIP requirements, registration, audio/visual production, product/brand provisioning, and post event.
A successful candidate will demonstrate excellent interpersonal skills when dealing with internal clients across all Morgan Stanley divisions including members of the Firms Executive Committee and COO’s as well as with external parties such as airlines, hotels, agencies, and ground transport. The position holder will have the ability to effectively manage and form strong partnerships with vendors who are essential to delivering quality, reliable meeting services. The ability to innovate through implementation of process and technology improvements, while building strong business relationships is an important component of the role.
In partnership with EMM colleagues, this role will work closely with Firmwide Marketing, Sourcing, Employee Guest Services, Technology, and our 3rd party partners to achieve the best outcomes from delivering a world class meeting planning team. In addition, there will be continued focus on achieving operating efficiencies and meeting internal KPI’s; for example, through directing MS hosts to the most cost effective meeting options.

Responsibilities:
- Oversee all elements of the EMM Full-Service team across the US and rest of the world
- Deliver high-quality meeting services to the Firm: venue sourcing, planning logistics, attendee management, budget reconciliation and on-site planning support
- Introduce EMM to the business units and ensure they are informed about most cost-effective meeting planning options and evolving best practices, this includes experience running reports, strong comprehension of analytics and insights
- Prioritize and manage ad-hoc events impacting meeting planning operations (return to work, acquisitions)
- Work in partnership with Infrastructure leads (Sourcing, HR, Legal, Finance, Employee Guest Services, Technology and Firmwide Marketing)
- Develop and deliver best in class KPIs and SLAs to manage the program and demonstrate EMMs value to the business units
- Ensure VIPs receive extended servicing and concentrated support
- Create and evaluate metrics to measure performance as well as manage SLA’s/KPI’s
- Develop and Manage communications and training to promote EMM’s services
- Benchmark like companies for program development to ensure the EMM Program remains best-in-class
- Policy development, adherence, and administration, while understanding industry benchmark position
- Support and participate in Diversity & Inclusion initiatives, to further division efforts to improve D&I within TMM, CS and the Firm
- Produce Best in Class events with constant evaluation of meeting analytics to drive improvement
- Demonstrate ability to update, maintain and analyze planning tools/software and procedures
- Work alongside event hosts to:
- Establish event goals and budget: gather and track ROI, engagement analytics, and feedback to consistently assess and implement opportunities for improvement
- Develop and deliver event enablement to include pre-event briefings, at event briefings, and drive post-event follow-up briefings and event retrospectives.
- Ensure events arranged are consistent with the Firm’s positioning and objectives
QUALIFICATIONS
- Minimum 10 years’ experience in meeting and events in a corporate or professional services environment
- Bachelor’s degree
- Ability to work independently
- Extensive knowledge of Cvent, Microsoft Word, Excel and Power Point
- Project Management experience and decision-making skills
- Flexible and willing to work long hours (evenings, weekends) and travel
- Ability to work smart under pressure and efficiently on multiple project requests simultaneously
- Consistent attention to detail and strong organizational skills
- Staff management skills, especially working with a cross functional team
- Negotiation, contract management and risk mitigation experience skills
- Excellent leadership, interpersonal and customer service skills; Sound judgement, know when to escalate, self-starter/think like an owner
