POSITION SUMMARY:
This position reports to the GSA Export Program Manager. This role exists to supervise and develop the Booking staff in the selection and successful implementation of the best transportation methods for our client, our strategic MLC collaborator, and our company. This role ensure the Booking Staff understands required response times and effectively documents and communicates shipment status. This position ensures staff is consistent in the use of CargoWise. This position leads a weekly operations status meeting and provides the following booking status information:
– Number of shipments requiring booking actions for the day
– Identification of all shipments requiring same day booking not yet in “ready to book” status / passed to booking team by the warehouse
– Number of shipments ready by the warehouse for booking on subsequent days
– Number of shipments booked on a daily basis for a rolling 7-day historical period
– On time delivery percentage on a weekly and monthly basis
– Delivery receipts outstanding (not received from transport provider)
This position ensures that completed shipments are invoiced each week. This position ensures that the Booking Staff works with the shippers to ensure that all of the necessary documentation is provided prior to the shipments arriving on site. Ensures Booking Staff identifies if a Transportation Control Number (TCN) exists for a shipment, and if not, creates the TCN for the shipment. Ensures the Booking Staff monitors the booking queue and prioritizes bookings on a first in, first booked basis.
ESSENTIAL DUTIES AND PRIMARY RESPONSIBILITIES – Including, but not limited to:
· Supervises Booking Staff
· Trains Booking Staff
· Reports booking status
· Monitors booking performance
· Performs the duties of the Booking Staff, as needed to meet customer expectations;
o Register requested shipments in company’s supply chain software
o Route, estimate cost, execute, and track shipments
o Update shipment status in company’s supply chain software twicer per day
o Obtain and archive proof of delivery records
o Proactively communicate shipment status to customers
o Prepare customer invoices
o Validate vendor invoices for services provided and costs
o Call customer’s vendors to confirm ship ready dates
· Maintains positive customer relationships
· Answers phones and fields customer questions, as needed
· Other duties as assigned
QUALIFICATIONS DESIRED:
· High school degree is preferred.
· Must be able to pass pre-employment requirements including criminal background check and drug screen.
· Proficiency in a variety of computer software application, especially Excel, Word, Outlook, PowerPoint and Access software.
· Excellent organization, communication (both written and verbal), and interpersonal skills required.
· Self-motivated, able to multi-task and work effectively under a minimal level of supervision in a fast-paced environment, strong problem-solving skills.
· Must be able to demonstrate a consistent capability of working cooperatively with others in a team environment.
· Supervisory experience is preferred.
· Experience in dangerous goods and HAZMAT regulations for shipping, storing, and handing is preferred
· Expertise in CargoWise is essential
· Experience in UPS Click and Ship, Electronic Transportation Acquisition (ETA), the Freight Acquisition Shipping Tool (FAST), US TRANSCOM’s Next Generation Delivery Service contracts, FACTS system to prepare/receive the Transportation and Control Movement Document (TCMD) and Military Shipping Label, and TRANSCOM’s Integrated Booking System (IBS).
WORKING ENVIRONMENT:
Work is performed in an office setting with ability to speak and receive phone communications often. Work requires computer usage with strength, dexterity, coordination and visual acuity to use keyboard and video display terminal and other office equipment. Moderate travel may be required to subsidiary offices and other locations as needed.
PHYSICAL DEMANDS:
Frequent sitting for prolonged periods of time, using hands/fingers requiring dexterity and coordination to handle files and single pieces of paper, reaching with hands and arms for items above and below desk level, talking, hearing, and seeing (up close, at a distance, along the periphery, with depth perception, and the ability to adjust focus); walking from place to place within the office with occasional use of stairs and no elevator available; bending, pushing, pulling, and standing for up to 2 hours; occasional lifting of up to 25 pounds such as small office equipment, files, stacks of paper, reference and other materials.
