Job Summary
The Registration Systems Specialist is responsible for a variety of data projects, reporting, and processes that support the Registration office and University. This position processes the National Student Clearinghouse enrollment and degree file submissions and evaluates registration and student experience efficiencies. They will also collaborate with other departments to facilitate data-driven decision making and ensure the accuracy of all student academic records. This is the lead position for departmental reporting and data maintenance, success in which is assessed in two key areas of accountability: 1) System Maintenance and Data Integrity and 2) Administrative and Technical Consultation.
Job Duties & Responsibilities
Key Accountability 1: System Maintenance and Data Integrity (~ 65% of total effort)
• Serve as lead administrator for ensuring student academic data integrity.
• Remain current with federal financial aid regulations for enrollment and degree reports.
• Execute accurate and timely submissions of enrollment/ degree data to the National Student Clearinghouse; assist with data gathering for yearly audits.
• Troubleshoot data issues in the National Student Clearinghouse database and National Student Loan Data System (NSLDS) if needed.
• Assist with technology projects related to student academic record functions.
• Research and resolve data input errors and assist with records cleanup as necessary.
• Lead Registration office in document imaging, electronic archiving projects, and workflows.
• Work with other departments in support of continuous quality improvement and strategic initiatives around student life cycle.
• Assist with on-going migration projects and auditing of legacy system data.
Key Accountability 2: Administrative and Technical Consultation (~ 35% of total effort)
• Assist Director of Institutional Research and Ellucian Business Analyst in institutional report building and distribution as needed for administrative and academic departments.
• Apply technical solutions to simplify procedures and improve services.
• Collaborate in performing functional administrative duties in SIS, portal system, and document imaging system such as: registration tasks, table maintenance, and maintaining workflows.
• Lead in becoming a paperless office.
• Assist Registrar in records retention policies and procedures.
• Understand the critical business needs of office and determine changes towards efficiency.
• Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to the Family Educational Rights and Privacy Act (FERPA) and data privacy regulations.
• Other duties as required.

Educational degree/diploma required:
Bachelor’s degree in any field
Minimum length of prior relevant professional experience required:
Three (3) years of experience in higher education administration function

• Working knowledge of Microsoft 365 suite of applications (including Outlook, Excel, Word, etc.)
• Ability to learn complex student information system.
• High attention to detail and accuracy.
• Sensitive to deadlines and timeliness in responding to/ following up on information requests.
• Able to engage in complex trouble shooting.
• Able to conduct independent research, analyze data, and overall flexibility in learning new technologies.
• Able to synthesize complex ideas and concepts to present/educate/train multiple audiences.
• Ability to collaborate in both a lead and support role.
• Able to maintain privacy and confidentiality in all interactions as required.
• Diplomatic, sensitive, empathetic, and tactful when interacting with everyone internal and external to the university.
What We’d Like You to Have
• Master’s degree in any field, special consideration for degree in Computer Science or Education
• “Power User” systems experience
• Experience with student information and other systems, specifically Colleague, Jenzabar, Banner, 25 Live, Argos, Cognos, SQL, imaging software, or any comparable programs.

Employees who work fewer than 20 hours per week are eligible to participate in Naropa’s retirement plan only.
