The Executive Secretary to the Vice President will be responsible for providing top-notch support to the VP by managing business related tasks for the VP such as creating reports, reviewing emails, taking minutes, and other organizational tasks. This person will need to be flexible, able to work under tight deadlines, be familiar with the industry, and possess superb multitasking skills. The role requires uncompromising discretion and professionalism.

ResponsibilitiesActs as the point of contact between the VP and internal or external colleagues.Preparing presentations, reports, memos, invoices, letters, and other documents.Format information for internal and external communication–memos, emails, presentations, reports.Accurately and efficiently take minutes during meetings as needed.Screen and direct phone calls if necessary and distribute correspondence.Organizing meetings and booking meeting rooms.Handling correspondence directed to managers.Managing information flow in a timely and accurate manner.Managing the VP’s calendars and set up meetings.Making travel arrangements and detailed travel itineraries.Producing reports and presentations.Prepare and monitor invoices, submit and reconcile expense reports.Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Qualifications3-5 years’ administrative experience supporting upper management or executive level staffAn Associate’s degree or Bachelor’s degree in business or related is strongly preferred.Proficient in Microsoft Office products or related softwareExtremely organized and possesses great attention to detail.Highly effective time and task management skillsGreat communication skills, both written and verbal.
