Reporting to the Director of Athletics, the Administrative Assistant is responsible for supporting the Director in daily functions and running the Department of Athletics, Physical Education, and Recreations. Duties include calendar maintenance, scheduling meetings, preparing correspondence, assisting in managing the departmental budget, purchasing activities, and event coordination. Essential Responsibilities: Provide information and updates to the Stevens community and respond to questions promptly. Oversee all student employment activity in Athletics, working with the Office of Student Employment to create job postings and onboarding the successful candidates. Work closely with the Director of Athletics on various administrative projects to include but not limited to position vacancy searches, record keeping, scheduling, facility needs, fundraising, and travel. Process requisitions, purchase orders, and check requests electronically using the Kuali Financial System. Coordinate dining and facility arrangements for special events, including the hall of fame induction ceremony, athletics awards night, President’s List reception, and other special meetings and events as they develop. Maintain the inventory and purchase of departmental office supplies and computer equipment in conjunction with the Assistant Director Athletics for Finance and Administration. Coordinate all phone mobile phone orders and general phone billing issues. Adhere to and enforce all policies and procedures of the department and institution as well as the rules and regulations of the Middle Atlantic Conference (MAC), MAC Freedom, the NCAA, and other authorities that may legitimately influence the intercollegiate athletics program. Complete all required departmental and institutional training programs, including First Aid, CPR, AED certification, and participate in available professional development opportunities. Other duties as assigned, including occasional evening and weekend work required for departmental and University events recruiting events. Advance notice is provided for weekend work. Required qualifications: The successful candidate will be detail-oriented, organized, and approach new projects enthusiastically. Candidates should possess the following qualifications: Bachelor’s degree or equivalent preferred. Minimum 2 years of relevant experience. Ability to communicate effectively and professionally, including written, interpersonal, and public speaking. Intermediate level PC skills using MS Outlook, Excel, Word, and PowerPoint, including the ability to manage databases Demonstrate an openness to learning new technology and using technology effectively. The employee in this position will be required to work on campus.
