The HR Operations Specialist position is responsible for facilitating and overseeing the onboarding process for all hires and internal transfers enterprise wide. Works in partnership with managers, Talent Acquisition, and other internal partners to support all functions of the onboarding process. Provides enterprise wide customer service support on a range of Human Resource topics in response to inquiries from new and existing associates. Administers and maintains complex processes and document management in compliance with regulatory requirements and departmental procedures. Provides staff coverage for the HR Customer Operations Team and training for new HR Operations Specialists.
Knowledge, Formal Education and Training
Bachelor’s degree required; Minimum three (3) years of equivalent HR work experience may be considered in lieu of education required.
Essential Functions
Provides customer service by greeting or receiving, and in turn responding to applicant, associate, and customer inquiries for all levels of Human Resource programs and processes related to benefits, payroll, policies and procedures, employment verification and associate records. Provides referrals for inquiry resolution if necessary.
Serves as the primary resource for the following operational and onboarding areas:
Coordinates applicant processing and new hire onboarding with the hiring manager and Talent Acquisition
Processes and certifies new hire onboarding documentation as accurate and complete
Maintains the associate records within the document management system
Performs data entry and/or provides verification of data entry for new hires, promotions, transfers, and associate demographic change requests.
Maintains and monitors information for assigned functional programs such as unemployment, licensure, performance appraisals, corrective action, I-9s, etc.
Provides clerical and administrative support for assigned functional areas of the HR Operations unit.
Ensures compliance to include primary source verification for renewal of expiring licenses and certifications required.
Provides training for new HR Customer Service Specialists.
Provides Quality Assurance and utilizes Continuous Improvement Principles to ensure the best possible standards for work processes and quality.
Additional miscellaneous duties and responsibilities may be assigned from time to time by management as needed.
