Responsibilities:
Reporting to the Manager of Human Resources Administration, the Human Resources Associate serves as lead administrator on several key processes and is responsible for coordinating, preparing, and tracking human resources transactions for employees in the college. The HR Associate works closely with and cross-trains with two other HR Associates. The HR Associate also provides guidance to managers, faculty and staff on a wide range of human resources topics and, when necessary, is an intermediary between managers, new hires and University Human Resources to resolve issues related to hiring, data accuracy, benefits, payroll, compliance, time tracking, etc. This individual must be a relationship-builder, working with central HR and a portfolio of assigned units.
I. Hiring, Onboarding, and Offboarding
Support managers throughout the hiring process for new positions and incumbent replacements, selecting an existing job profile or working with Compensation to create a new one; complete offer cards; facilitating the approvals; and creating a requisition. . Prepare offer letters. Serve as the main point of contact for all new hires from the offer stage through their first day of employment. Instruct and guide managers through hiring and onboarding practices. Provide training and support related to the applicant tracking system for position management, requisitions, and hiring.
II. Human Resources Activities
Provide guidance and transactional support to managers, faculty and staff on matters related to human resources (e.g., staffing, promotions, etc.) and when necessary be an intermediary between managers, new hires and University Human Resources to resolve issues related to hiring, data accuracy, benefits, payroll, extra compensation, time tracking, etc. Respond to requests for employment related data and prepare/distribute reports. Conduct exit interviews and compile and analyze exit interview feedback into themes for HRBPs and unit leadership. Complete termination forms and follow up to ensure processed successfully.
III. HR Administration, Compliance & Special Programs
Provides support to managers and new hires to ensure compliance with employment laws and University policies, including facilitating the I-9 process for the Division, working with administrative support staff to send welcome emails from Chancellor and unit Vice Chancellors; and verifying managers conduct probationary period reviews by providing deadline reminders and guidelines as needed. Securely and efficiently manage all HR files, both active and inactive. Maintain database of active part-time faculty each semester.
Other specialized activities may include:
o Monitoring Grant-funded Appointment end dates and work with departmental administrators on extending funding end dates, issuing reappointment letters, and processing lack of funding terminations as necessary; process HR action forms received from Departmental administrators and ensure they have appropriate signatures from Senior staff before working with HR Ops on final processing.
o Non-Paid Appointments (Affiliate appointments, Visiting Scientist/Scholar/Student): Work closely staff on collecting documentation for the Exchange Visitor Process (EVP), including the Associate Dean of Faculty Affairs on processing these following approval from the SVP. Issue offer letters and process J-1 visas for these appointments as necessary and serve as the college’s SEVIS contact.
o Manage temp non-student hiring process and provide instruction to managers hiring temporary nonstudents.
IV. Special Projects & Process Improvement
Participates in a variety of special projects, initiatives and other assignments that improve the candidate experience, employee experience and/or the level of services delivered to the University. Offers recommendations to the team for improvement, followed by implementing and communicating necessary changes. Create new process documentation, workflows, and guides for a variety of audiences.
Qualifications:
Knowledge of human resources policies/procedures, programs and related employment laws.
Ability to think critically and quickly grasp/apply new concepts.
Ability to plan or organize work. Interpersonal skills to relate well to all kinds of people; communicate information clearly with the appropriate level of detail; build and maintain relationships; and use diplomacy and tact to comfortably defuse tense situations.
High level of proficiency in MS Office applications [Access, Excel, PowerPoint and Microsoft Word] and ability to use core HR platforms.
Knowledge and skills typically obtained through a related bachelor’s degree or equivalent and at least one to three years of service, preferably in higher education.
