Olivet is a close-knit, rural community offering quiet streets and natural surroundings, yet it is not more than 30 minutes from the larger cities of Lansing and Battle Creek. POSITION:
Reporting directly to the Chief of Staff (cos), the Administrative Assistant works closely with the President, the COS and the Vice President for Advancement (VPA) to support the day-to-day operations of each office. The position also provides support to the Board of Trustees.
This requires an understanding of how each office functions and the ability to accommodate shifting priorities within each office. This position works with minimal supervision, exercises independent judgment, and is responsible for maintaining strict confidentiality of all information.
Reporting directly to the COS, this position’s core responsibilities include: maintaining calendars, receiving guests, assisting with travel arrangements, coordinating meetings and assisting with campus communications. The Administrative Assistant assists the COS with the planning, preparation and set up for the committee and regular meetings of the Board of Trustees, special meetings, cabinet retreats, and other events involving the campus community and trustees. This position requires the use of professional writing and proofreading skills in preparing and proofreading reports, memos, meeting notices, recording minutes for Board of Trustees-related and the President’s Cabinet meetings and for drafting campus updates.
The successful candidate will present a calm, professional demeanor and possess the ability to work discreetly with senior executives and members of the Board of Trustees in a confidential manner.
Represents the President’s Office and VPA at committee meetings, as needed.
Manages special projects as needed.
REQUIRED:
Minimum of 4 years of increasingly responsible office management experience, which is relevant to preparing for this type of position.
Ability to demonstrate a professional demeanor.
Excellent writing and proofreading skills.
Must be able to maintain strict confidentiality.
Proficient in Microsoft Office suite and the ability to learn new software when applicable.
Preference given to:
Bachelor’s degree and 4 years relevant experience.
Excellent interpersonal and public relations skills.
Well organized.
Strong skill in prioritizing effectively.
Project management skills.
Able to work independently and possess good decision-making skills.
Solid problem-solving skills.
Ability to respond to common inquiries or complaints with a calm, unbiased demeanor.
Must be able to maintain poise under pressure.
WORKING CONDITIONS: Work performed in and out of the office environment. The hours for this position are typically 8:00 am to 5:00 pm Monday-Friday, with a 1 hour lunch.
Performs duties in a diverse, challenging and occasionally stressful environment.
Hazards: Mainly those present in a normal residence life setting; no known hazards.
