GENERAL DESCRIPTION
As a Human Resources Assistant, you will have the exciting opportunity to support the PLEXSYS culture through multiple channels both internally and externally. You will work for our Vice President of Human Resources and support the HR team and hiring managers with coordinating interviews, fielding HR related questions to the appropriate team members, and administrative tasks that support the local office. You ll also assist with crafting attractive job postings, developing creative candidate sourcing strategies and interview packets, ensuring smooth onboarding for new hires, and screening resumes to ensure we identify top talent across the world.

DUTIES & RESPONSIBILITIES
Assist human resources with communications, including scheduling interviews for team and onboarding communication to new hires
Assist with developing, maintaining and posting job advertisements via BambooHR, candidate screening, interview questions and assessment mechanisms
Regularly update our HRIS database to reflect job opening status and applicant statuses
Ensure proper documentation of recruiting activity, timely applicant tracking and complete file audits
Maintain internal job descriptions and job codes for all positions
Assist with data entry projects related to human resources and training records
Handle all package, correspondence, equipment, parcels, etc. for mail/shipping in the United States
Maintain inventory of office supplies, toner, etc. for staff and office machines, as well as order, stock, or schedule repairs when appropriate
Maintain refreshments and snacks for office, including purchasing and stocking shelves
Provide refreshments for conference rooms when outside visitors are present
Manage vendor relationships, coordinate building maintenance, scheduling all yearly building inspections, ensuring tasks are completed in a timely manner
Assist with other special projects and miscellaneous duties as needed or assigned
REQUIREMENTS
An Associate s degree or higher focused on Business Administration, Human Resources, Communication, Marketing or a related field, or two additional years administrative experience in place of degree
Two or more years experience in human resource disciplines including recruiting, employer branding or professional development in a small to medium size organization
Experience effectively coordinating selection processes for candidates based on experience, business needs and compliance in mind
Knowledge of EEO/Labor Law, and federal and state regulations and experience coordinating applicant tracking activities
Experience developing, revising and updating detailed job postings
Proven ability to manage confidential information from various sources, including tracking, tabulating, and organizing information into standard and/or non-standard reports
Excellent verbal and written communication skills, able to convey complex information in a clear and concise manner
Ability to think creatively and participate fully, interacting with employees at all levels
Self-directed and motivated with the ability to juggle multiple projects
Strong research skills and attention to detail
Proficiency in Microsoft Office applications
Punctual, dependable and shows initiative in taking on additional responsibilities
