This is primarily a Human Resources Assistant role that will help organize and maintain records and develop more efficient processes. This position will provide support to the Director of Administration, who is responsible for Human Resources, Facilities, several annual administrative projects, and our developing Juniors program. Exceptional customer service and organizational skills, attention to detail, and a professional demeanor are needed for this role. The ideal candidate must thrive in a challenging and fast-paced atmosphere where prioritizing and multi-tasking are the norm.

Full time position: Mon-Fri, 9am-5pm. The role will be in-person on site in our Columbia office.

Job Duties:

HR Administrative Support

• Coordinate timesheets and track PTO
• Implement and manage employee benefits
• Assist with management of record retention
• Track calendar for staff annual objectives and reporting
• Update and add new processes to operations documentation archives. Help plan for staff cross training.
• Update org chart, employee handbook, job descriptions, labor law posters, and other documents as needed
• Help with orientation and onboarding of new employees; assist with improvement of the process
• Evaluate and recommend improvements to HR process and procedures continually to meet the needs of the HR department

Facility Assistance

• Purchase facility supplies
• Organize storage of facility supplies
• Coordinate trash schedule (Our staff members work together to handle trash, tidying, and disinfecting)
• Coordinate facility repairs and improvements with contractors as needed
• Manage phone system updates (adding employees, adjusting for inclement weather and holidays, training new employees in system)

Juniors Program Assistance

• Prepare and ship welcome boxes – print name badges, pack boxes and ship weekly, communicate with parents when needed.
• Order supplies
• Prepare and ship Juniors supplies to be used at events
• Collect activities, tips, and ideas that will be posted on our website to help members in other locations as they plan events for children and youth

Other Administrative Support

• Assist with receipts, credit card reconciliation, and expense reports
• Assist with special projects, including several Excel spreadsheet updates, coordinating awards and trophy engraving, and record keeping.
• Collect quotes when needed for office equipment, vendors and suppliers, etc. and communication with sales and technical staff.
• Coordinate plans for staff training
• Create and generate reports

• Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback
