JOB PURPOSE AND OVERVIEW
The Franklin County Municipal Court is one of the largest and busiest municipal courts in the state. The Court has 14 judges in the General Division and one judge in the Environmental Division. Judges preside over civil, criminal, and traffic cases and conduct both jury and nonjury trials. The Department consists of approximately 100 employees. The Mission of the Pretrial Services is to promote community safety and pretrial success through research informed recommendations and supervision services that maximize court appearance, remove barriers to fair and efficient justice, and promote harm reduction; and the mission of Probation Services is to promote community safety by reducing recidivism, changing offender behavior, and fostering accountability through the effective use of evidence based practices. Department functions include screening, assessment, pretrial, investigation and supervision services. Supervision structures are determined by risk and need and include all types of cases that are referred by the judges of the Court. The Department also operates specialized caseloads including domestic violence, sexual offenses, soliciting, mental health, work release and electronic monitoring. The Pretrial and Probation Department strives to stay current and relevant with the ongoing goal of being an evidence based organization. This position is under the immediate supervision of the Chief Probation Officer.
ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE POSITION
Works to ensure the coordination, efficiency and quality of operations for all areas of responsibility.
Understands the inter-relatedness of functions within the Department and identifies and supports ways to streamline and improve processes.
Performs Administrative Assistant tasks for the Chief Probation Officer.
Assists in the planning, development, and facilitation of procedures.
Learns and understands Court functions and procedures.
Develops long and short-term goals in collaboration with members of the management team.
Assists with reviewing and evaluating applications for employment when vacancies occur.
Attends conferences, seminars, and workshops related to leadership, supervision, and Court and Department related topics.
Gathers, collates, prepares, and summarizes data for operations reporting.
QUALIFICATIONS AND REQUIREMENTS
Minimum of a Bachelor’s Degree in Business Management, Office Management, or a closely related field, from an accredited four-year college or university.
Must possess excellent oral and written communication skills including speaking, listening, reading and writing; ability to deal with potentially difficult people; possess excellent time management skills.
Must be able to receive and appropriately deliver constructive feedback and direction.
Must have the ability to prioritize work and to work both independently and collaboratively in a fast-paced, high volume environment.
Ability to maintain confidentiality of department information.
Must possess strong problem solving and critical thinking skills and exercise sound judgement and informed decision making.
Proficient in data entry skills and Microsoft Office applications and is able to learn and work with the custom software utilized within the Department and Court.
Conscious of, and sensitive to, the diversity within the Court’s jurisdiction and ability to interact professionally with this diverse population of people from many different geographic, socioeconomic, religious, racial, and ethnic backgrounds on a regular basis.
Professional appearance and demeanor appropriate for the position and the work environment as a representative of the Court.
Leadership and personal traits including patience, objectivity, maturity, effectiveness under stress, initiative, good attendance, dependability and reliability, adaptability, and sound judgment.
Must have the ability to work within a team management concept and to advance management objectives.
PREFERRED QUALIFICATIONS
Minimum of two (2) years of experience working in an administrative support position.
Working knowledge of pretrial and probation-related procedures and practices. Additional consideration will be given to individuals who have any of the following qualifications: previous supervisory experience; the ability to speak and write Spanish or a language commonly used by people of Somalia for whom English is a second language; or proficiency in American Sign Language.
