Duties will include a variety of administrative, clerical, financial and human resource tasks including, but not limited to: maintaining and managing personnel records, onboarding new staff in ADP, conflict resolution, maintaining workplace culture, handling employee relations, and communicating and working with other members of the team, vendors, and customers to ensure smooth day to day operations. Duties performed by this position involve access to a variety of information that is confidential or sensitive in nature therefore good judgment, discretion and professionalism is required at all times. A positive, helpful, friendly, enthusiastic, and patient temperament is paramount to this position’s success.
Duties and responsibilities include, but are not limited to:
Administrative:
Maintains office services by organizing office operations and procedures, controlling correspondence, designing/adhering to filing systems
Provide direct administrative supports as needed, including scheduling appointments, meetings, and events, booking travel, mailing and shipping packages, and updating contact database and employee list
Receive and sort incoming mail and deliveries and manage outgoing mail.
Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors
Assist in responding to info@ emails as needed, or forward to staff as necessary
Provide clerical and administrative support to management as requested
Promote good public relations and handle complaints and concerns as needed
Record meeting and prepare action minutes when needed
Create/Update POS buttons for locations as needed
Human Resources:
Organize/input new employee onboarding into ADP
Manage timely onboarding of new hires related to uniforms, hardware, benefits, email, and POS system access
Ensure policies and employee handbooks are up to date
Maintain Work Culture
Maintain a healthy, safe, and fun work environment and ensure a level of comfort for all employees
Eliminate any stressful/awkward atmospheres that may hinder the performance of the staff to ensure employee happiness and productivity
Maintain an open-door policy wherein employees can freely communicate and voice their opinions to be given consideration
Establish the HR department as a friendly body with an open attitude. Communicate with and treat every employee as an equal to build a rapport with the employees
Increase employee engagement to lead to higher employee job satisfaction.
Conflict Resolution
Serve as a peacemaker for all departments
Whether the dispute is amongst two or more employees or between the employee and the management, HR will intervene and help map out a solution
Be available at the disposal of the conflicting parties and hear out their issues without being judgmental
Investigate all matters from all sides before passing any judgment. The HR head is expected to not discriminate or play favorites in this matter and always deliver an unbiased and practical decision
Employee Relations
Ensure employees feel comfortable coming up to you with their problems by building a good public image within the organization.
Be proactive and know the employees
Establish the trust and confidence of the employees be being HR expert and an employee advocate
Staff Training on HR related items
Work with management to execute/implement reward/incentive program for staff
Planning and coordinating employee events such as team outings, celebrations, and charity fundraisers when needed
Assist in hiring by posting ads/recruiting, and interview scheduling when needed
Maintain employee records related to hiring, transferring, promoting, and terminating
Respond to unemployment notices on online platform
Assist in coordination of open enrollment and annual engagement programs and initiatives
Vendor:
Maintain communication with vendors, service providers, and landlords
Review supply orders when needed, and approve/negotiate with them to ensure competitive pricing
Research incorrect addresses, returned mail and undeliverable mail and update records in the database
Organizing and managing company files digitally
Administration of insurances, contracts, and other similar administrative needs
Collect 1099’s from contractors
Taxes & Insurance:
Keep track of receipts and supply invoices, submitting them to the accounting when required
File Quarterly Sales Tax
File Quarterly Beverage Container Deposit Reports
File Quarterly Federal Brewer’s Excise Tax
File Annual State Brewer’s Excise Tax
Prepare monthly Heavy Beer report and send to the DABC
Assemble information for annual DABC audits when needed
Complete information for Workers Comp Insurance claims and audits
Maintenance:
Assist Managers in coordinating/scheduling the maintenance and repair of machinery, equipment, and electrical and mechanical systems
Banking:
Pickup change orders weekly from banks and distribute to appropriate managers/locations
Make weekly and monthly deposits
Track all company’s deposits & withdrawals
Knowledge, Skills and Experience:

Ability to keep business and financial matters strictly confidential
Ability to interact with customers, vendors, and coworkers in a professional manner
