Summary
Accounts Receivable responsibility will include customer invoicing and processing customer payments through cash receipts in compliance with financial policies and procedures. Payroll responsibility will include prepare, analyze, collect, record, and transmit in a timely and accurate manner, payroll data in accordance with federal and multi-state labor laws, GAAP, and company standards; including highly compensated employees.
Essential Duties and Responsibilities include the following.
Accounts Receivable:
Cash Postings to include creation of manual credits & debits, investigate short/over payments, manually enter invoices directly into customer/supplier portals and reconcile daily posting with bank totals and general ledger.
Reconcile customer consignment accounts, inventory related.
Reconcile Daily Ship Confirmation Reports with invoicing report.
Oversee daily Auto Invoicing; including email/mail daily invoices to customers.
Prepare monthly Accrued Commissions journal entries and reconciliations.
Prepare monthly Accrued Royalty journal entries and reconciliations.
Manage, verify, update and monitor Exemption Certificate data.
Complete A/R sales tax report on a monthly basis.
Generate, create and maintain Destination Sales Cut-Off/Calculations –quarterly journal entry.
Payroll:
Interact with management for explanation, recommendation, and recording of payroll data in accordance with federal and multi-state labor laws, GAAP and company standards.
Must have experience using ADP Payroll 3 – 5 years.
Must have experience in manufacturing.
Prepare review and insure accuracy of payroll entries for each payroll. Review W-2 forms at the year end.
Process all related gross up and special compensation transactions, and obtain the approval.
Interface with payroll service to ensure filing of State, Federal, and Local tax returns.
Reconcile quarterly tax filings to ensure accuracy.
Generate hand checks in special circumstances and maintain a control log of all special checks typed in house.
Interface with garnishing agencies and employees.
Resolve employee/employer tax issues as assigned.
Verify accuracy, upload and transmit payroll records to ADP – bi-weekly for payroll processing.
Compile and analyze financial information from all components of the organizational entity, and develop integrated revenue/expense analyses, projections, reports, and presentations, as needed.
Perform miscellaneous job-related duties as assigned.

Education and/or Experience
Bachelor’s degree in accounting desired and three to five years of payroll and general accounting experience directly related to the duties and responsibilities specified.
Language Skills
Ability to read and comprehend technical instructions, short correspondence, and memos.
Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization. Strong interpersonal and communications skills and ability to work effectively with a wide range of constituencies in a diverse community.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using wholesale numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to compile, analyzes, interpret, and present complex annual financial reports, statements, and or projections
Other Skills and Abilities
Knowledge of payroll processing procedures. Knowledge of payroll related deduction calculations.
Knowledge of Microsoft Word and Excel. Database management skills.
ADP Workforce Now experience required.
Working knowledge of business systems applications such as ERP and financial applications.
Knowledge of Oracle a plus.
