Responsibilities include:
Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the CFO’s behalf.Maintaining comprehensive and accurate recordsPerforming minor accounting dutiesOrganizing meetings, including scheduling, sending reminders, and organizing catering when necessary
Answering phone calls in a polite and professional mannerManaging the executive’s calendar, including making appointments and prioritizing the most sensitive mattersAct as the point of contact between the executives and internal/external clientsMake travel arrangements and expense reports.Participate in highly confidential meetings and provide accurate transcription and documentation.Draft high-level presentations, communications and documents using Word, Excel and PowerPointProvide coverage for other executive assistants in their absence.Review, refer, and follow up on patient complaint and other letters and calls.Maintain/update Finance global distribution lists and Organization charts.Schedule meetings for CFO as below but not limited to:
Earnings Releases
Audit & Finance Committee Calls
Various Business Results Review meetings
Pre-Audit Committee Meeting (Internal Audit)
Finance webcast
Requirements
Proven experience as an Executive Administrative Assistant,Senior Executive Assistant or in other secretarial position for at least 5yearsFull comprehension of office management systems andproceduresExcellent knowledge of MS OfficeProficiency in EnglishExemplary planning and time management skillsAbility to multitask and prioritize daily workload.High level verbal and written communications skillsDiscretion and confidentialityHigh School degree: additional qualification as personal assistant would be considered an advantage.It’d be great if you also have: Strong attention to detail, meticulous grammar and tons of creativityHighly organized work style with excellent interpersonal skillsPositive, “no job is too big or too small” attitude.Extraordinary ability to multitask.
