Job Title: HR Assistant/Receptionist
Reports to: Human Resources Manager
Classification: Non-Exempt
Scope of Responsibility: The HR Assistant/ Receptionist answers and redirects incoming calls, greets visitors, and performs general administrative and Human Resources duties.
Essential Duties:
Answers all incoming phone calls and redirects to the appropriate department in a professional manner.
Greets and assists all visitors and applicants.
Sends out daily document shipment using UPS system.
Processes and ensures timely delivery of incoming mail.
Prepares and processes outgoing mail and prepares certified/overnight/return receipt mail.
Assists with the Birthday and Anniversary Program.
Signs for deliveries when necessary and notifies recipients.
Assists other departments as needed.
Functions as key member of Human Resources area, ensuring team is providing strategic value to overall organization.
Provides prompt, courteous, and accurate customer service to employees, applicants, and vendors/consultants.
Ensures all salary TORs have been turned in and sent to payroll
Codes invoices for HR vendors and sends to Accounts Payable for payment.
Functions as key member of Human Resources area, ensuring team is providing strategic value to overall organization.
Provides prompt, courteous, and accurate customer service to employees, applicants, and vendors/consultants.
Run background checks, present new hire paperwork, and coordinate pre-employment testing.
Additional duties as assigned
Position Requirements:
Regular and timely attendance is required
Associate s Degree preferred.
Microsoft Windows and Office applications background
Excel skills
HR Experience Preferred
Must be detail oriented
Bi-Lingual English/Spanish required
Physical Requirements:
Demonstrated ability to work with frequent interruptions in work flow and constantly changing priorities.
Must be able to remain in a stationary position for extended periods of time with the ability to move throughout the office or outside manufacturing plant as needed.
Must be able to perform physical activities that require use of fingers, hands and arms, such as sitting, typing, using office equipment and reaching. Some additional physical activities may require walking, stooping, bending, twisting and handling of materials.
Position requires manual dexterity, arm-hand steadiness and a safety-minded individual.
Must have the ability to concentrate on tasks for long periods of time and be able to observe and receive information from all relevant sources.
Must be able to communicate verbally and in writing as well as answer telephones and greet customers.
